Shipping and Receiving Superintendent

Location: Abbeville, LA

Employment Type: Full-time

Job Summary

The Shipping and Receiving Superintendent position requires the person to demonstrate the ability to manage employees, ensure personnel are working efficiently and productively, ensure quality standards and procedures and executed, and effectively assign and monitor tasks given to personnel. The position will also require an understanding of equipment and material requirements in assistance to personnel questions or concerns and maintain ship and equipment under direction in good working condition. Responsibilities and Duties

  • Participate in all daily JSA meetings and JSA development for daily tasks. 
  • Manage/Monitor all tasks completed by Shipping Personnel, Receiving Clerk, and Warehouseman/Material Expeditors. 
  • Monitor that all received materials and equipment are appropriately checked in: 
  • Confirm against material order issued 
  • Ensure quantities are correct 
  • Ensure that material grades are correct 
  • Ensure that country of origin is correct 
  • Confirm that materials are labeled correctly (job #, heat number information, project phase when required and grade color coding)
  • Ensure that materials are inventoried/stored in an organized manner (by project and by project phase when required) 
  • Monitor that all receiving paperwork is filed appropriately and in a timely manner (within 24 hrs.) 
  • Receiving paperwork turned in to receiving clerk 
  • Invoices scanned/named in project file 
  • Invoice copy emailed to ordering personnel 
  • Attaching of invoices into Etiquette ticket after receipt in financial system (SAGE) 
  • Monitor that all materials are correctly allocated to jobs and through correct process 
  •  Ensure shop material request is completed by requesting shop and filed by warehousemen/material expeditor 
  • Ensure materials not properly requested are not sent to shops in error 
  • Monitor materials are not retrieved from warehouse or designated laydown area without material expediting approval and sign-off 
  • Notify material ordering personnel of any material shortages and/or errors immediately upon identification 
  • Monitor/ensure that any damaged materials, incorrect materials, unidentified materials, or materials delivered without complete paperwork required are quarantined and the Project Manager is notified. 
  • Monitor/ensure that all drop material returned from shops is appropriately identified, labeled, and that MTR’s are available, and that material is inventoried. 
  • Monitor that all additional material is properly stored in quarantine while vendor is contacted for return. Also, ensure vendor      provides proper paperwork when return occurs. 
  • Assist in identifying any drop materials that can be allocated to Bid projects for cost control. 
  • Turn in department time to time clerk each day by 7:30am. Approved department time in ADP by 7:30am daily. 
  • Monitor that shipping personnel appropriately identify and locate materials to be shipped, and that staging is completed in a timely manner to not delay scheduled loadouts. 
  • Identify conflicting scheduled loadouts and work with Project Manager and Yard Operations Manager to resolve. 
  • Formally report any repetitive and/or substantial personnel quality, accuracy, workmanship, or reliability issues to Shop Superintendent and Division Manager for follow up and mitigating actions to be taken through progressive discipline. 
  • Maintain a positive attitude with internal and external customers by providing quality customer service. 
  • Other duties as assigned my manager.

Qualifications

  • High School diploma or equivalent preferred.
  • 3 years minimum experience in in piping, vessel, or structural fabrication, personnel supervision and management.
  • Good reading comprehension for technical documents, such as safety regulations, assembly and maintenance instructions, and procedure manuals 
  • Excellent verbal communications skills, especially when addressing customers, clients, or official visitors to the worksite 
  • Basic knowledge of software programs, such as Microsoft Excel, Word, Outlook, and PowerPoint 
  • Ability to write reports and professional correspondence to vendors and clients
