Job Description - Site Administrator

What You’ll Be Doing

This position is responsible for performing a broad range of administrative duties to ensure effective and efficient operations including but not limited to coordination of and participation in center functions and activities, and providing miscellaneous administrative support as requested.

Responsibilities

  • Demonstrate creativity and initiative in developing new employee activities and engagement ideas, taking ownership of the planning process from initial concept through coordination, execution, and completion.
  • Serve as the company representative and liaison for charitable and community initiatives. Coordinate and support volunteer activities, donation drives, and other community involvement efforts.
  • Lead and support the Employee Activities Team in developing, planning, and executing engaging events and community programs that foster a positive and connected employee experience.
  • Provide comprehensive administrative support, including coordinating travel arrangements, scheduling and organizing meetings, preparing meeting minutes, creating expense reports, and managing incoming calls, emails, and other correspondence.
  • Create and design communication materials, including flyers, announcements, newsletters, and digital content. Ensure information is accurate, complete, current, and aligned with company branding.
  • Process supply orders and to support departmental and site needs.
  • Maintain inventory of site prizes / activity supplies.
  • Maintain a high degree of confidentiality when handling sensitive and proprietary information.
  • Support special projects and initiatives while providing flexible administrative and operational assistance to meet evolving business needs.
  • Provide coverage for the front reception desk as needed, ensuring a professional and welcoming experience for employees, visitors, and guests.

Education

  • Associates Degree or equivalent work-related experience preferred

Experience

  • 3-5 years of related experience

Skills

  • Possession of strong personal code of ethics, including maintaining confidentiality and avoiding conflict of interest
  • Able to prioritize and complete multiple tasks under pressure and with minimal supervision
  • Excellent oral, written and interpersonal communication skills
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Excellent time management and organizational skills
  • Experience in event planning
