Solar HOA Coordinator/ Site Survey Coordinator

Job Summary:

We are seeking a proactive and detail-oriented Solar HOA Coordinator / Site Survey Coordinator to serve as the central point of contact between our solar installation company, homeowners, and homeowners associations (HOAs), while also managing the scheduling and coordination of site surveys. This dual role is critical to the efficiency and success of each project, ensuring compliance with HOA requirements and accurate, timely execution of site surveys. The ideal candidate will be highly organized, customer-focused, and capable of maintaining up-to-date records across all systems.

Key Responsibilities:

HOA Coordination:

• Coordinate and manage all HOA-related documentation and approval processes for residential and commercial solar projects.
• Act as the main point of contact between the company, homeowners, and HOA representatives.
• Review and interpret HOA guidelines to ensure project compliance.
• Submit solar plans and required documentation to HOAs for review and approval.
• Proactively track approvals, follow up on pending applications, and escalate delays.
• Maintain complete, accurate, and up-to-date records of all HOA communications and decisions.
• Collaborate with internal teams (sales, design, permitting, legal) to align HOA requirements with project plans.
• Educate customers on HOA policies and their rights under solar access laws.
• Stay informed about changes in local and state HOA solar regulations.

Site Survey Coordination:

• Contact homeowners to schedule site survey appointments when requested by the sales representatives
• Create, organize, and manage complete customer project files.
• Dispatch site survey technicians with complete and accurate site survey documentation.
• Ensure technicians are fully equipped with all necessary documentation and information.
• Confirm survey completion and coordinate next steps with internal teams.
• Update all CRM systems and internal databases to reflect survey status, appointment details, and project progress—ensuring all entries are current, accurate, and complete.
• Work closely with the sales and design departments to ensure a smooth transition post-survey.
• Will be responsible for other duties and tasks as may be assigned from time to time by management.

Requirements

Qualifications:

• Experience in solar energy, property management, permitting, or administrative coordination preferred.
• Exceptional organizational skills and attention to detail.
• Excellent communication skills—both verbal and written.
• Ability to interpret legal/technical documents such as HOA CC&Rs and survey reports.
• Customer service experience with a collaborative, problem-solving mindset.
• Familiarity with solar workflows (e.g., permitting, installation) is a plus.
• Must be proficient in using CRM systems and committed to keeping all project records accurate and up to date at all times.
• Authorized to work in the United States.

Preferred Skills:

• Working knowledge of HOA solar guidelines and solar access laws.
• Experience engaging with Architectural Review Committees (ARCs).
• Bilingual (Spanish strongly preferred).
