POSITION OVERVIEW
The Registrar provides comprehensive registration support for exceptional environmental education experiences that:
• Provide a foundation for students to practice stewardship behaviors
• Create equitable access and culturally sustaining pedagogy, especially in outdoor natural science
• Build meaningful and sustainable relationships with schools and families in the Puget Sound region and beyond.
The Registrar is an annual, full-time member of the professional education team for IslandWood. During the school year, the Registrar manages all data and registration aspects of the School Overnight Program and Summer Camp
Job Title: Registrar
Classification: Full-Time Hourly/Non-exempt
Work Schedule: Monday - Friday, occasional weekend
Pay Range: $22.25 - $24.00

Paid Time off annual benefit:
IslandWood offers 3 weeks paid vacation, floating holidays, 10 annual paid holidays and 80 hours of paid annual sick leave. (Time-off prorated during first year based on start date).
PRIMARY RESPONSIBILITIES:
Registration and Database Management
- Lead and manage all registration processes for school-year and summer camp programs, including applications, confirmations, deposits, registration packets, camp sign-in, and related logistics
- Coordinate all aspects of overnight program information, including function sheets, database entry and maintenance, group and rooming lists, dietary and medical information, and timely distribution to relevant departments.
School and Family Liaison
- Serve as the primary point of contact for teachers and families during pre-trip and camp planning phases
- Collect and document feedback from schools and families through debrief conversations, evaluation forms, surveys, and follow-up emails.
- Use feedback from teachers and schools to inform program planning and continuously improve the participant’s experience.
Financial Administration
- Partner with the Accounting team to issue invoices, manage deposits, and ensure timely receipt of final payments.
Program Planning and Coordination
- Lead the development of the annual calendar for school and camp programs, ensuring alignment with organizational priorities and program capacity.
- Collaborate with the Director to market and recruit schools and families for programs
- Facilitate IslandWood's Connecting Classrooms workshops to introduce and orient new teachers to the School Overnight Program experience.

Experience and Skills
- Five or more years of office and/or registration experience, preferably in an educational or youth-serving environment.
- Demonstrated experience in customer service, preferably working with schools or other educational partners.
- Strong technology skills, including Microsoft Teams, Microsoft Office, and database software and applications.
- Proven ability to plan, organize, and manage projects.
- Ability to take initiative and effectively prioritize multiple tasks.
- Ability to work independently on daily responsibilities while collaborating regularly to support mission-driven work.
- Experience engaging with diverse communities.
