About Rose City Rollers & the Special Events Coordinator Position
Rose City Rollers (RCR) is a one-of-a-kind nonprofit — and we’re looking for an equally exceptional Special Events Coordinator to help deliver the next era of community, empowerment, and unforgettable events.
We are the world’s largest roller derby league, with 450+ members ages 7–55+, 18+ teams, and a passionate community of athletes, families, and fans. As a 501(c)(3), we’re dedicated to creating inclusive, body-positive, and empowering experiences for women, girls, and gender-expansive individuals in Portland and beyond.
The Special Events Coordinator is a mission-critical role. You’ll own our Skatemobile program from first inquiry to final report — booking, contracting, staffing, and running 20+ community skating events each year — while also helping produce our 40+ annual roller derby bouts and other special events. Whether you’re behind the wheel of our 24’ Skatemobile, welcoming a first-time fan at The Hangar, or ensuring every detail runs smoothly in ClickUp, you’ll be a trusted face of RCR and a champion for an unforgettable fan experience.
From hands-on hustle to polished follow-through, this job requires initiative, collaboration, and serious event chops.
What You’ll Do
- Plan, negotiate, and manage all Skatemobile bookings from inquiry to post-event follow-up.
- Draft and track contracts; coordinate with partners to confirm logistics and fulfill grant reporting needs.
- Staff events by scheduling and leading volunteers or paid crew.
- Drive and operate a 24’ box truck (non-CDL) safely to/from events; handle setup/breakdown and gear transport.
- Lead on-site guest services: skate fitting, gear distribution, safety briefings, line flow, and light instruction.
- Maintain skate fleet and gear; coordinate repairs and replacements.
- Capture attendance, testimonials, and images for reporting and storytelling.
- Manage assigned bouts (~30% annually), from load-in to post-mortem, with a focus on superb fan experience.
- Support compliance with OLCC, fire code, and venue safety rules through signage, volunteer training, and monitoring.
- Use ClickUp to track timelines, tasks, and resources for all events.
What You Bring
- Clean driving record and valid driver’s license (DMV check required).
- Confidence driving/parking a 24’ box truck.
- 1–3 years in event coordination, recreation, youth programming, or similar guest-facing logistics role.
- Enjoyment of working with kids and adults in a high-energy environment.
- Strong organizational skills; proactive problem-solver who thrives in live-event pressure.
- Comfort with client communications and contract negotiations.
- Ability to lift 50 lbs, push/pull rolling cases, and work indoors/outdoors in varied weather.
- Proficiency with Microsoft 365; bonus points for project management experience, especially in ClickUp.
- First Aid/CPR a plus; background check required due to youth program involvement.
Pay & Hours
- $48,000 - $52,000 + benefits package worth $13,000
- Evenings/weekends required
