Job Description Summary

Perform a variety of administrative duties requiring confidentiality, special terminology, and considerable exercise of independent judgment with strong customer service skills. This role combines legal record compliance, licensing responsibilities, and strong public service. Support customers with clarity and professionalism and contributes to internal quality and operational standards across the department. Works under general supervision from Clerk & Recorder, Chief Deputy, and Recording Manager.

Job Description

Document Processing, Compliance and Cash Handling - 50%

  • Examines and analyzes legal documents presented for public record ensuring compliance with state statute and office policies.

  • Records, scans, indexes, and verifies appropriate data/documents using recording software; process, ie and record Marriage Licenses and Civil Unions.

  • Executes quality assurance measures in reviewing the integrity of all recorded documents, adhering to permanent preservation guidelines as required by state statue and office policies.

  • Operates cash tendering system, maintains cash drawers, enters cheek, cash, credit and ACH payments to ensure end of day balancing.

  • Uses judgment and enforcement authority to accept or reject legal documents presented for public record based on determination of compliance as dictated by state statue and office policies.

  • Meets department expectations for accurate and productive data entry.


Customer Service and Communication - 30%

  • Assists the public in person, by phone, and through written/electronic correspondence.

  • Works to resolve any image quality or data inconsistencies.

  • Use problem resolution skills to resolve complex transactions.

  • Serves as a representative of the designated election official when required, fulfilling all roles and/or tasks as assigned. As directed, assists in other departments and/or with County-wide events.


Operational Support - 20%

  • Provides input regarding new projects, equipment evaluation, production and quality standards.

  • Responsible for performing routine clerical tasks as requested.

  • Maintains a safe and clean working environment by complying with procedures, rules and regulations.

  • Other duties as assigned.

Required Qualifications

Required Education

  • High School Diploma/GED

Experience Qualifications

  • 2 years experience in an increasingly responsible position in an office setting.

Skills and Abilities

  • Will be required to work in any department of the Clerk and Recorder, and to work flexible hours, to include evenings, weekends and holidays.

  • Computer data entry, basic ten key, cash handling, public contact experience strongly preferred.

  • Considerable knowledge of office practices and procedures; working knowledge of indexing and searching practices as required by the position; skill in operation of office equipment, including personal computer, indexing system, calculator, etc.

  • Ability to learn technical terminology; to compose letters and materials using some exercise of independent judgment; to follow verbal and written instructions; to communicate effectively verbally and in writing; and to establish and maintain effective working relationships with employees, agencies and the public.

  • Candidate must pass criminal background check prior to employment start date.

  • Pre-employment substance screening is required for this position.

  • This position is subject to a pre-employment drug screening. Employment is contingent upon successfully passing the screening in accordance with Weld County policy.
