Team Overview

The Sr. Administrative Assistant serves as the strategic and operational partner to the Vice President of the Blackstone Legal Fellowship. In this high-impact role, you provide executive-level administrative leadership, manage complex judicial and professional development data, and coordinate cross-team initiatives that support Blackstone’s long-term talent and judicial strategy. You will regularly engage with senior leaders, judges, Fellows, faculty, and external partners—requiring sound judgment, discretion, and professionalism. Success depends on anticipating needs, handling sensitive information, streamlining systems, and driving excellence in a fast-paced, mission-driven environment. This position is based in the ADF Virginia office with occasional travel to Blackstone events.

Key Responsibilities

Executive & Administrative Leadership

  • Provide comprehensive executive-level support to the VP of Blackstone Legal Fellowship, including complex calendar management, strategic scheduling, agenda and briefing preparation, follow-up materials, domestic travel coordination, detailed itineraries, and expense management.

  • Serve as a trusted representative of the VP, exercising sound judgment in prioritization, communication, and information flow across internal and external stakeholders.

  • Anticipate executive needs, identify emerging challenges and opportunities, and proactively recommend solutions aligned with strategic priorities.

Judicial Pipeline & Professional Development Operations

  • Maintain and continuously improve systems tracking judicial pipeline data—including clerkship placements, judges, courts, timelines, and long-term career trajectories—ensuring accuracy and strong data governance.

  • Develop and synthesize reports, dashboards, and data summaries to inform decision-making, long-term planning, and program evaluation.

  • Manage relationships with Blackstone Professional Development Advisors to align data insights with strategic guidance.

Program Coordination & Cross-Functional Collaboration

  • Coordinate meetings, calls, and working sessions related to Professional Development initiatives, ensuring clear agendas, timely materials, and effective follow-through.

  • Partner with Finance, HR, Legal, Communications, and other departments to support seamless program execution, reporting, budget monitoring, expense tracking, and operational alignment.

  • Lead or support special projects, research assignments, and cross-functional initiatives that advance Blackstone’s long-term leadership and judicial strategy.

Confidentiality

  • Handle highly sensitive judicial, executive, and career-related information with the highest level of professionalism, discretion, accuracy, and impeccable judgment.

Minimum Qualifications

  • Bachelor’s degree in Business Administration, Communications, Political Science, or a related field.

  • 5+ years of senior‑level administrative or executive assistant experience required.

  • Experience using Microsoft Word, Outlook, PowerPoint, and Adobe Acrobat Pro, with advanced proficiency in Microsoft Excel, including data tracking, reporting, and analysis.

Preferred Qualifications

  • Prior experience supporting senior leadership.

  • Experience in data tracking, reporting, program coordination, or similar operational roles.
