Job Description - Sr Payroll Administrator


  

To ensure timely and accurate payroll processing and a smooth onboarding experience for all new employees, including proper documentation and payroll portal completion.


Requirements

  

Payroll Processing

Process bi-weekly or semi-monthly payroll in accordance with company schedule.

Verify all time entries, salary changes, deductions, and bonuses prior to payroll submission.

Ensure payroll complies with applicable federal, state, and local laws.

Coordinate with HR and department leads for any adjustments related to new hires, terminations, or status changes.

Submit payroll for approval and release according to established deadlines.

Maintain accurate and confidential payroll records for all employees.

New Hire Onboarding

Receive notification of new hires from HR or hiring manager.

Initiate onboarding process in payroll system.

Verify and record professional licenses or certifications as required by the employee’s role.

Ensure Section 1 of the I-9 form is completed by the employee on or before their first day of employment.

Coordinate with HR to verify and complete Section 2 of the I-9 form within the required 3-day compliance period.

Introduce new hires to the payroll portal with login instructions and an overview of tasks (direct deposit setup, W-4, etc.).

Payroll Portal Monitoring and Follow-Up

Track onboarding progress within the payroll system for all new hires.

Identify incomplete or missing tasks in the payroll portal.

Follow up with employees via email or phone to ensure timely completion of all required onboarding documents and forms.

Escalate any delays or issues to HR or the appropriate manager if not resolved within expected timeframes.

General Responsibilities

Respond to payroll-related questions from employees in a timely and professional manner.

Assist in audits or reviews related to payroll or onboarding documentation.

Stay updated on relevant payroll and employment law changes.

Maintain strict confidentiality of all employee and payroll information.

Train any and all employees on how to access the employee portal

Other Duties as assigned

Agenzee – maintain and review licensing for all employees.

Run all licensing prior to hire

Advice on all active licensing

Assist with Tax Notifications

Follow up with Paylocity

Track correspondence

Advice on the profit center when items are resolved
