Job Description - Student Activities Special Events Manager

The Special Events Manager assists in the oversight of the planning, execution, and evaluation of Student Activities events throughout the semester, as well as leading events and overseeing the budget of events. The Special Events Manager will also supervise student workers.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Responsible for assisting in the planning of approximately 80 Student Activities events each year. This includes determining logistics, budgets, and staffing plans for all events.

  • Oversee the execution of the event calendar by working various events throughout the semester including Homecoming Weekend, CFAW concerts, Coffeehouse, Block Party, Fall Fest, Christmas in Lights, and other events hosted by Student Activities.
  • Responsible for directly overseeing a team of student employees. This includes hiring, training, developing, scheduling, and evaluating.
  • Work within budgets provided by the Assistant Director of Student Activities and manage purchasing for events.
  • Communicate with university departments such as Events, Grounds, LUPD, Event Production, and more to ensure event logistics are executed properly.
  • Contribute to the overall creative vision of Student Activities events, specifically Coffeehouse, Block Party, Fall Fest, and Christmas in Lights.
  • Oversees the cleanliness, organization, safety, and functionality of the Student Activities facilities, including the LaHaye Event Space, Workshop, and Green Room.
  • Remain up to date on industry standards and performance benchmarks and ensure that programming and events remain effective and current.
  • Oversee all survey administration, analysis, and adjust events as necessary.
  • Perform all other tasks assigned by the Assistant Director of Student Activities.
  • Works effectively as a team member, embracing and fostering LU’s mission.
  • Occasionally manage events during evening, nights, or long weekend hours.

SUPERVISORY RESPONSIBILITIES  

This position is responsible for up to 22 student employees.

QUALIFICATIONS AND CREDENTIALS

Minimum Qualifications

  • Four-year college degree from an accredited university

  • 2+ years’ experience in event planning or related field

  • Excellent verbal and written communication skills with the ability to convey information in an articulate and professional manner
  • Excellent public communication skills with the ability to represent Liberty University in a professional manner to a variety of business, government and community customers and associates
  • Strong organizational and problem-solving skills
  • Demonstrated ability to think critically
  • Basic computer skills, especially with Microsoft Word, Outlook, and Excel

Preferred Qualifications

  • Management/supervisory experience
  • 1+ years’ professional experience in an event planning position
  • Familiarity with Adobe Suite

Driving Requirements

To obtain LU-approved driver certification, individuals must be 21 years of age or older, possess a valid driver’s license with a minimum of five (5) years of documented driving history, and maintain a clean driving record.

  • Ability to effectively communicate both verbally and in writing to convey clear, well-articulated information.

  • Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner.

  • Possess public communication skills that allow professional representation of Liberty University to a variety of business and community customers and associates.
  • Strong organizational skills.
  • Excellent computer skills.

Problem Solving

  • Intuitively able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.

Physical and Sensory Abilities

  • Frequently required to travel to local and campus locations.
  • Frequently required to sit for extended periods to perform deskwork or type on a keyboard.  (If not administrative duties, such as labor, define general physical abilities.
  • Regularly required to hear and speak in order to effectively communicate orally.
  • Occasionally required to stand, walk, and climb stairs to move about the building.
  • Handle materials, reach overhead, kneel or stoop in order to conduct business.
  • Regularly lift 10 or fewer pounds.

WORKING CONDITIONS

Work Environment

The working environment in which one will typically perform the essential functions of this position is split between a climate-controlled office setting and various outdoor and indoor event venues. Areas are well lit and the noise level is moderate to high.
