General Description
The Student Success Systems Coordinator supports the University’s academic advising, student records, and student success operations by combining functional expertise with process management and CRM/system support. Coordinators serve as key resources to students and academic advisors, supporting the full student lifecycle from admission through graduation supporting degree progress, transfer articulation, graduation certification, compliance, and the implementation of technology‑enabled workflows within the student success CRM and related enterprise systems.
Job Functions
Student Records, Progression & Graduation
Complete graduation reviews and certification in partnership with academic departments.
Review transfer evaluations for degree applicability and coordinate departmental review for course‑specific articulation.
Support the creation, maintenance, and accuracy of transfer articulation rules and catalogs.
Assist in executing and monitoring registration overrides and resolve prerequisite/co‑requisite issues.
Ensure compliance with policies related to registration, general education, Gordon Rule, transfer requirements, and other progression standards.
Student Success Systems
Participate in testing and validation activities during new feature releases or workflow launches.
Provide central coordination and management of new and existing workflows within the SIS and the student success CRM, ensuring consistency, accuracy, and alignment with institutional policies.
Identify opportunities to streamline processes, improve data quality, and enhance the user experience for students and advisors.
Operational Coordination & Cross‑Campus Collaboration
Serve as a liaison to academic advisors, advising directors, and campus partners including Enrollment Services, Registrar’s Office, Financial Aid, one‑Stop/Service Centers, and the Graduate School.
Recommend improvements to academic policies, processes, and tools that impact the responsibilities of the team.
Support NCAA compliance requirements related to academic eligibility and advising documentation.
Participate in university committees and cross‑functional workgroups, as assigned.
Other Responsibilities
Assist with departmental initiatives that support persistence, retention, and degree completion.
Perform duties as assigned during declared campus emergencies, which may include remote or alternate‑location work.
Perform other duties as assigned.
Required Qualifications
Department Requirements
Demonstrated exceptional attention to detail and strong technological proficiency.
Ability to analyze, interpret, and synthesize data to support sound, independent decision making.
Advanced capability to review, interpret, and audit academic records with accuracy and consistency.
Proven ability to adapt quickly and effectively in response to evolving policies, procedures, and institutional priorities.
Strong organizational skills with the ability to prioritize multiple responsibilities, manage deadlines, and work both independently and collaboratively.
Demonstrated commitment to high quality customer service, fostering positive and professional interactions with faculty, staff, and students.
Effective written and verbal communication skills, including the ability to present information clearly and professionally.
Proficiency with Microsoft Office applications (Outlook, Word, Excel, etc.) and other Windows based systems; comfort learning new tools and technologies.
