Job Description - Supervisor, Building & Administrative Services

Under the direction of the Director, Building Services and Tribal Events, the Supervisor, Administrative and Building Services leads the administrative team with a strong focus on staff development and daily operational support by overseeing facility related responsibilities across multiple Tribal buildings, ensuring maintenance, safety, and vendor coordination are carried out effectively. Manages office moves, space changes, and supports building readiness. Oversees the full lifecycle of Tribal and Team Member identification cards, ensuring accuracy, compliance, and efficient processing. This role coordinates day to day operations and event logistics to support Tribal events, ceremonies, and community activities while upholding the Tribe’s mission, vision, and values.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Leads day-to-day administrative and building services operations across Tribal Government facilities, ensuring consistent, efficient, and high-quality service delivery. Defines, implements, and monitors service standards, workflows, and operating procedures to sustain operational excellence and customer satisfaction. Communicates operational priorities, emerging issues, and project updates to leadership and key stakeholders in a timely and transparent manner.

2. Coordinates facility operations, including vendor services, maintenance activities, and building readiness across multiple Tribal facilities. Ensures adherence to safety requirements, access protocols, and organizational policies governing building operations. Evaluates vendor performance and deliverables to confirm quality, timeliness, and alignment with service expectations.

3. Manages administrative processes, systems, and documentation to ensure efficiency, accuracy, confidentiality, and alignment with departmental standards. Establishes and maintains standardized procedures and internal controls to support consistent service delivery and compliance.

4. Manages the coordination and execution of office relocations, space reconfigurations, and facility-related projects in collaboration with the Director and cross-functional teams. Tracks project timelines, logistics, and stakeholder alignment to support the successful delivery of building and workspace initiatives.

5. Administers Tribal and Team Member identification and access control processes, ensuring accuracy, security, and compliance with established policies. Maintains the timely issuance, updating, and recordkeeping of credentialing systems and documentation.

6. Acts as a central liaison for building services and administrative operations with internal departments, contractors, and external partners. Identifies, escalates, and resolves operational issues, service gaps, and workflow inefficiencies to maintain continuity of services.

7. Guides the planning, coordination, and execution of Tribal events, ceremonies, and community gatherings to ensure seamless logistics and operational readiness. Aligns event logistics, vendor coordination, and support services with organizational standards and service expectations.

8. Maintains emergency preparedness resources, including evacuation lists and facility readiness plans, ensuring accuracy and accessibility. Supports adherence to safety protocols and promotes safe, functional environments across facilities for employees, Tribal Citizens, and visitors.

9. Performs other duties as assigned to support the efficient operation of the department.

SUPERVISORY RESPONSIBILITIES

Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring and training employees; planning, assigning reviewing and directing work; evaluating and appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Makes hiring decisions and designs individual development plans with succession planning in mind for all key roles.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Business Management, Facility Management or related field is required.

  • Minimum of five (5) years progressive administrative and/or operations experience is required.

  • Minimum of one (1) years of supervisory experience is preferred.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Experience working in a Tribal Government is preferred.

  • Demonstrated experience in managing vendor contracts, and leading cross-functional project coordination.

  • Advanced proficiency in computer systems and software applications, including but MS365 and related platforms.

  • Must have intermediate proficiency in Financials and Supply Management (FSM) and/or other related systems.

  • Strong organizational skills and multitasking skills, with the ability to effectively manage competing priorities and meet tight deadlines.

  • Ability to demonstrate professional communication practices and maintain effective interpersonal relationships; demonstrates initiative and high level of professionalism.

LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

  • Authorized Driver: Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver’s license with an acceptable driving record as determined by the insurance carrier is required.  

PHYSICAL REQUIREMENTS/ WORKING CONDITIONS – ENVIRONMENT

The physical demands and working environment described here are representative of those that an employee encounters and must be met by an employee to successfully perform the essential functions of this job.

  • Primary work environment is in a climate-controlled office setting.

  • Work requires travel to attend meetings, trade shows, and conferences.

  • Incumbents may be required to work evening, weekend and holiday shifts.

  • Must be able to work in a fast-paced, high-demand environment.

  • Strength sufficient to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and/or move up to 40 pounds occasionally.

  • Sedentary work: involves sitting most of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

  • Physical activities that apply to the essential functions of the position are balancing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, grasping, talking, hearing, and repetitive motions.

  • Hearing sufficient to hear conversational levels in person, via videoconference and over the telephone.

  • Speech sufficient to make oneself heard and understood in person, in front of groups, in meetings, via videoconference and over the telephone.

  • Visual acuity that meets the requirements of the position: The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading and visual inspection of employees, visitors or facility.

  • Mobility sufficient to safely move in an office environment, walk, stoop, bend and kneel, and enter, exit and operate a motor vehicle in the course of travel to promotional events, meetings, conferences, trade shows and San Manuel properties.

  • Endurance sufficient to sit, walk and stand for extended periods, and maintain efficiency throughout the entire work shift and during extended work hours.

  • The employee may be exposed to fumes or airborne particles including secondhand smoke.
