Responsible for supervising the operation of the clinic to include, but not limited to, front desk reception and scheduling, nursing functions and overall supervising responsibilities. Coordinates all office management and personnel activities in order to ensure efficient patient flow and appropriate staffing. Works effectively with Providers, Administration and Physician Billing Department to ensure efficient office operations.The following is a summary of the major essential functions of this job. The incumbent may perform other duties, both major and minor, that are not mentioned below. In addition, specific functions may change from time to time:
Responsible for supervising staff to include but not limited to interviewing, hiring, coordinating new employee training and/or employee retraining/remediation, performance appraisals, rewarding and disciplining employees.
Assesses competency of non-clinical staff and administratively of clinical staff.
Ensures that all office equipment is maintained in proper operating condition.
Completes and submits assigned audits and surveys by given due dates.
Reviews and monitors the Performance and Quality Metrics to provide a continuous improvement plan
Maintains compliance with regulatory bodies including but not limited to The Joint Commission, Department of Health and Human Services and its divisions, and Centers for Medicare and Medicaid.
Rounds weekly with all clinic staff and host monthly staff meetings at each assigned clinic.
Conducts periodic monitoring of Electronic Health Record (EHR) to ensure timeliness follow-up and completion of, In Basket messages, prior authorizations, outstanding referrals, lab results and provider notes.
Attends leadership and other related meetings, both during and outside of normal office hours.
Ensures efficient patient scheduling and process improvements in order to meet patient access needs.
Coordinates with manager the handling of patient complaints and resolving/addressing these complaints in a timely manner.
Maintains thorough knowledge of current policies and guidelines related to the following: CPT and ICD coding, current billing issues, medical terminology and compliance with payer guidelines.
Consistently works towards optimizing volumes and developing strategies for preventing/reconciling billing errors.
Reviews and monitors cash flow within the clinic(s) to ensure collections are obtained and appropriate.
Collaborates with the Clinic Manager and Practice Administrator in creation of the capital and operating budgets of assigned clinics.
Responsible for monitoring and functioning within the capital and operating budgets of assigned clinics.
Responsible for time keeping of all office personnel or delegates to appropriate supervisory staff. Monitors and prevents incidental overtime as applicable.
Oversees the ordering of supplies and equipment for office. Responsible for monitoring par levels to prevent overstocking.
Monitors daily/weekly/monthly financial reports to identify areas of success and/or improvements needed.

The following qualifications, or equivalents, are the minimum requirements necessary to perform the essential functions of this job:
High school graduate or equivalent required
Associate degree in business or healthcare preferred
2 years of healthcare experience required
Must be able to coordinate staffing and other supervisory activities.
Must have problem solving abilities and critical thinking skills.
Ability to work unsupervised.
PC experience must include Microsoft Office.
Ability to read, analyze and interpret general periodicals, professional journals, technical procedures and insurance policies, procedures, and regulations.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Ability to work independently and have good organizational and communication skills.
Must be able to communicate orally
See and hear to give instructions
Must have manual dexterity to operate office equipment.
