Job Description - Supply Chain Manager

Summary of Role:


The Supply Chain Manager at Chip City Cookies is the backbone of our commissary kitchen operations — ensuring our bakers always have what they need to produce the freshest, most consistent cookies at scale. This role owns end-to-end procurement of ingredients, packaging, and supplies while managing vendor relationships, controlling inventory, and driving cost efficiencies across our supply network. The Supply Chain Manager works closely with our kitchen, operations, and finance teams to keep production flowing and our quality standards uncompromised.


Primary Responsibilities:



  • Manage end-to-end sourcing, procurement, and inventory across all spend categories — from food & beverage and packaging to uniforms, branded merchandise, operating supplies, and janitorial and linen.

  • Develop and maintain relationships with key vendors and distributors across all product categories; negotiate pricing, lead times, and contract terms.

  • Monitor inventory levels, set reorder points, and conduct regular cycle counts to minimize waste and prevent stockouts.

  • Forecast demand in partnership with operations and production teams based on seasonal trends, promotions, and new menu development.

  • Track and report on key supply chain KPIs including cost per unit, delivery performance, waste percentages, and vendor fill rates.

  • Identify and resolve supply disruptions quickly, proactively sourcing alternatives when needed.

  • Collaborate with the kitchen team to ensure ingredient quality standards are met and maintained across all suppliers.

  • Support compliance with food safety, allergen labeling, and storage requirements across the supply chain.

  • Maintain accurate records in inventory management and procurement systems; identify opportunities to improve processes and reduce costs.


Purchasing responsibilities:



  • Issue and manage purchase orders across all spend categories in a timely and accurate manner.

  • Source and evaluate new vendors; conduct competitive bidding and price comparisons to ensure Chip City receives best-value pricing without compromising quality.

  • Review and reconcile invoices against purchase orders and delivery receipts; resolve any discrepancies with vendors or the finance team.

  • Maintain an approved vendor list and ensure all suppliers meet Chip City's quality, food safety, and compliance standards before onboarding.

  • Monitor market pricing trends for key ingredients (e.g., butter, flour, chocolate) and recommend purchasing strategies to manage cost volatility.

  • Negotiate and manage supplier contracts, including pricing tiers, payment terms, minimum order quantities, and rebate structures.

  • Track purchasing spend against budget; provide regular reporting to operations and finance leadership on cost performance and savings opportunities. 


Required Skills & Experience:



  • 2–4 years of experience in supply chain, procurement, or inventory management — food & beverage or CPG environment strongly preferred.

  • Familiarity with commissary, restaurant, or large-scale food production operations is a strong plus.

  • Excellent vendor communication and negotiation skills.

  • Highly organized with a strong attention to detail and the ability to juggle multiple priorities in a fast-paced environment.

  • Self-starter mindset — comfortable operating with autonomy and taking ownership of problems.

  • Knowledge of food safety regulations and proper cold/dry storage practices is a plus. 


Technical Skills:



  • Proficiency in inventory or ERP systems (e.g., BlueCart, Olo, Restaurant365, NetSuite, or similar).

  • Strong analytical skills and comfort working in Excel/Google Sheets to manage data, build reports, and spot trends.

  • Holds a Food Protection Certification.

  • Comply with all Occupational Safety and Health Administration (OSHA) regulations applicable to the position.


KPIs / Outcomes:



  • Inventory accuracy rate — Target 98%+ accuracy between physical counts and system records, measured through regular cycle counts.

  • Reduces waste, prevents stockouts, and keeps production running smoothly.

  • Vendor fill rate & on-time delivery — Track the percentage of orders delivered on time and in full (OTIF) by each supplier.

  • A target of 95%+ ensures the kitchen isn't waiting on ingredients and holds vendors accountable.

  • Cost of goods variance (vs. budget) — Measure how closely actual ingredient and packaging spend tracks against the projected cost per unit or per batch.

  • Drives procurement discipline and flags pricing issues early. Cost Saving analysis.

  • Waste & spoilage rate — Track the percentage of perishable inventory lost to spoilage or over-ordering.

  • Tying this to ordering accuracy incentivizes smarter forecasting and tighter par levels.
