Job Description - Support Services Assistant

Description

ENTEK is seeking applications for a Support Services Assistant role to join us on-site at our Lebanon, Oregon location (relocation within 40 miles of Lebanon is required).

Are you ready to thrive in a dynamic, fast-paced environment? As a Support Services Assistant with the Support Services, you will play a vital role in keeping our daily operations running smoothly. Your day-to-day will involve responding to a variety of customer inquiries and requests with professionalism and promptness—solving issues efficiently and escalating more complex concerns to the right team members when needed.

Your organizational skills and ability to juggle multiple tasks—often with little notice—will be essential to your success. You'll maintain friendly, professional interactions with both internal teams and external clients, ensuring everyone feels valued and supported. Plus, as the main backup to our Receptionist during her absences, you'll be the friendly face and go-to support that keeps our front office seamless.

Key responsibilities will include:

  • Set up and clean up for hospitality functions, sometimes during early mornings or evenings.
  • Prepare and distribute reports, presentations, and other documents.
  • Interact with employees and customers, responding to inquiries.
  • Maintain and troubleshoot office machines; request service when needed.
  • Manage incoming/outgoing mail, packages, and postage machine funds.
  • Answer phones, greet visitors, manage visitation logs, and cover receptionist duties as needed.
  • Schedule rooms/vehicles, monitor office supplies, and assist with inventory.
  • Post conference room schedules daily.
  • Pick up USPS mail and run company-related errands.
  • Ensure policy compliance and suggest process improvements.
  • Support employee and ENTEK sponsored community events.
  • Assist with various projects as assigned.

Requirements

Minimum Qualifications

  • High School diploma or GED.
  • Two (2) years of administrative/office experience.
  • Ability to maintain regular, reliable, and predictable attendance at scheduled work shifts.
  • Willingness and ability to work overtime or different shifts to meet organizational needs.
  • Strong organizational and time management skills.
  • Ability to communicate effectively in both written and spoken English with a variety of internal and external customers.
  • Basic mathematical skills.
  • Detail oriented with a high level of accuracy.
  • Ability to prioritize tasks, manage multiple demands, and meet deadlines.
  • Experience with Microsoft Office, including Outlook, Excel, Word, Teams, and Power Point.
  • Current, valid driver’s license.
  • Satisfactory results from a pre-employment drug screen.

Preferred Qualifications

  • Customer service experience.
  • Experience with multi-line phones.

Working Environment

The hours for this role are Monday-Friday, 7:00 a.m. to 4:00 p.m.

This role is in an office setting and frequently requires sitting, working at a computer, hearing, reaching, and completing tasks that require use of hands and fingers for extended periods of time. The incumbent will frequently be required to talk and hear, as well as stand, walk, and climb stairs, especially on hospitality days, and may occasionally need to kneel and crouch. If this role requires visiting the plant and/or shop floors, wearing eye and hearing protection will be required. The role requires specific vision abilities, including close vision, distance vision, color vision, peripheral vision, and depth perception.

The incumbent must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 40 pounds.

In the course of regular duties, the employee is occasionally exposed to outside weather conditions including rain, extreme heat, and extreme cold.
