Job Description - Support Services Supervisor



Full-time


Description

The incumbent works under the direct supervision of the Manager of Support Services & Operations. Assists in supervising and training the personnel of the Operations Department. Provides assistance in the development and implementation of new processes and procedures to assure completion of back-office functions in accordance with standards established by the credit union Executive Management, Board of Directors, Federal Credit Union Laws and Regulations of the National Credit Union Administration.

The incumbent must provide assistance to assure processes in all areas are in compliance with all credit union statutes, rules and regulations and assist in the responsibility to provide complete and accurate maintenance of member accounts and back-office transactions, with a focus on ACH Origination and Business Banking.

Duties & Responsibilities

  • Assists in the supervision of personnel within the Operations Department. Responsible for maintaining accuracy, efficiency and proper workflows. Will assist the Manager of Support Services & Operations to assign, direct, coordinate and review work.
  • Provide support regarding planning and implementation of new projects and programs related to back-office functions. Will have an important role in testing and training any new processes scheduled for implementation. Will serve as the training liaison within the department.
  • Is assigned with supporting the AVP of Compliance and Fraud Risk Coordinator for risk reduction and loss prevention. This will include ensuring all transaction processing and regulatory deadlines and timeframes are met.
  • Have knowledge of the procedures and policies impacting the Operations team, enforcing them as necessary. Responsible for maintaining the procedure manuals ensuring that the information is available in a timely manner.
  • Assists in ensuring compliance with all rules and regulations related to back office operations, with a focus on ACH processing and Business Banking. Oversees and improves processes associated with the handling of transaction processing, settlement posting and exception item resolution for all back office transactions. Ensures the balancing of all department functions on a daily basis.
  • Manages back-office support and tax filings for IRA and HSA accounts.
  • Oversees the proper maintenance/ retention and filing of all credit union records, as well as the secure destruction of obsolete records.
  • Aids in the supervision of the posting of share draft transactions, Wire Transfer, ACH transactions, card transactions, payroll processing, payroll allocations, and the timely balancing of respective general ledger accounts. 
  • Ensures that staff provides excellent member service, always providing prompt and courteous assistance to front office personnel.
  • Assists the Manager of Operations and Support Services with providing all information required for all Audits, internal and external.
  • Performs other duties as may be assigned.

Requirements

  • Must possess an Associate's Degree or equivalent work experience.
  • Must possess supervisory capabilities.
  • Should have a background (academic or otherwise) in Electronic Data Processing and have working knowledge of spreadsheet programs.
  • Must possess strong analytical skills.
  • Experience in a financial institution or credit union required
  • Working knowledge of ACH origination and processing
  • Working knowledge of Business Banking programs and regulations
  • Accredited ACH (AAP) Certification preferred, or the ability to obtain the certification in a timely manner.
