Job Description - Supportive Services Representative

Description

 

We are seeking a highly organized and adaptable Supportive Services Representative with a strong background in construction and expertise in Florida Lien Laws. This role will support our collections team, manage lien-related documents, and ensure the proper legal and procedural handling of accounts. The ideal candidate will possess strong organizational skills, be a commissioned notary, and have a proactive approach to problem-solving.

Key Responsibilities:

  • Collections Support: Assist with managing collections activities, ensuring accurate records, and following up on overdue accounts.
     
  • Florida Lien Laws Expertise: Apply knowledge of Florida Lien Laws to prepare, review, and file lien documents as necessary, ensuring compliance with all legal requirements.
     
  • Document Management: Maintain and organize lien-related files, ensuring all necessary documentation is up to date and accessible for legal purposes.
     
  • Notary Services: Provide notary services as required, including witnessing signatures on documents related to lien releases and other official contracts.
     
  • Collaboration: Work closely with internal teams, including the legal department and accounting, to ensure all collections efforts align with company policies and legal requirements.
     
  • Reporting: Assist in generating regular reports related to collections, lien filings, and other supportive service functions.
     
  • Customer Service: Provide responsive support to clients, vendors, and contractors inquiring about lien status, collections matters, or related services.
     
  • Problem Resolution: Address and resolve issues related to collections or lien processes promptly and professionally, adapting to changing circumstances.

Requirements

  • Minimum of 3 years’ experience in collections, construction industry preferred.  
  • Strong working knowledge of Florida Lien Laws and procedures.  
  • Collections experience.

Certifications: 

  • Current Notary Public certification.  

Skills: 

  • Strong organizational and time-management skills.  
  • Excellent communication and interpersonal skills.  
  • Ability to work under pressure and handle multiple tasks simultaneously.  
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).  

Adaptability: 

  • Must be able to quickly adjust to new challenges and changing environments.
