Job Description - Surgery Scheduling Support


  

The Surgery Scheduling Support will monitor and distribute all incoming voice mail, hospital calls, faxed material which comes into the Surgery Scheduling Department. The roll will manage time to index daily documents and requests received from all Iowa Ortho clinics into NextGen for accurate and timely tasking to the patient’s EMR. Daily indexing and tasking of patient requests and follow up will provide a queue for Surgery Schedulers.

Key Responsibilities:

  • Monitor multiple incoming phone and fax folders; process all requests into workable tasks for schedulers
  • Save all patient documentation to the appropriate medical record
  • Excels at managing multiple tasks simultaneously while upholding meticulous attention to detail and accuracy
  • Work and route unrelated surgery concerns to appropriate personnel in a timely fashion to allow for exemplary service to referral source
  • Distribute all other miscellaneous faxes or requests to appropriate personnel or departments per the fax routing procedures
  • Monitor and distribute trauma consults from outside facilities and distribute to surgeons with professional communication skills.
  • Assist with clerical tasks assigned by supervisor and surgery scheduling team.
  • Maintain Medical Records Integrity
  • Assist with other duties as assigned
  • Proactively investigates, secures, and tracks patient records for upcoming surgeries, ensuring accuracy and efficiency in the scheduling process. 

Requirements

  

  • 60 hours of accredited college credits plus 2 years of medical office experience
  • Or Medical certification (CMA, LPN) plus 2 years of medical office experience 
  • Previous customer service experience preferred
  • Medical terminology knowledge required
  • Bilingual preferred
  • Excellent communication skills (verbal and written)
  • Intermediate computer skills; Excel knowledge
  • EMR/EHR experience in a practice management system
  • Ability to work independently with minimal supervision
  • Ability to multi-task between faxes, indexing and on site training/support
  • Ability to handle high volume of documents and make good judgment calls on routing information
