Job Description - Surgical Scheduler

Description

Precision Healthcare Specialists is seeking a detail-oriented and adaptable Surgical Scheduler to support multiple surgical departments across our clinics. This position plays a vital role in ensuring the smooth coordination of surgical procedures, pre-operative requirements, and patient communications. The Float Surgical Scheduler will rotate among clinic sites as needed and will collaborate with providers, patients, and external surgical centers to ensure accuracy and continuity of care. 

 

Key Responsibilities:

  • Accurately schedule surgeries, procedures, and pre-op appointments across multiple specialties and locations.
     
  • Serve as the liaison between providers, patients, insurance companies, and surgical facilities.
     
  • Ensure that all surgical documentation (consents, clearances, authorizations) is completed and submitted in a timely manner.
     
  • Confirm benefits and obtain pre-authorizations or pre-certifications as required by insurance providers.
     
  • Provide patients with detailed surgical instructions, preparation steps, and post-op care coordination.
     
  • Track and follow up on pending authorizations and referrals.
     
  • Adjust scheduling promptly based on surgeon availability, cancellations, or urgent needs.
     
  • Maintain confidentiality and comply with HIPAA regulations and all internal compliance policies.
     
  • Support clinics with administrative duties when not actively scheduling.
     
  • Adapt quickly to different EMR systems and workflows at various Precision locations.
     



Requirements

 

  • High school diploma or GED required; Associate’s degree in healthcare or related field preferred.  
  • Minimum 2 years of surgical scheduling or medical administrative experience.  
  • Knowledge of medical terminology, surgical procedures, and insurance processes.  
  • Strong multitasking, time management, and organizational skills.  
  • Excellent communication and patient service skills.  
  • Experience with EMR systems; familiarity with EMR platforms such as Athena, Epic, or similar preferred.  
  • Reliable transportation and willingness to travel between clinics within the region.  
  • Flexibility and a proactive attitude in a fast-paced, team-oriented environment.
