Key Responsibilities:
Review transactions to ensure compliance with IRS guidelines for 1099 and 5498 reporting.
Identify and escalate reporting discrepancies and facilitate timely corrections.
Provide training based on findings from reporting error analysis.
Update quarterly and annual client communications and postings.
Propose and implement policy and process improvements to enhance efficiency and reduce risk.
Analyze trends and generate compliance reports for senior management.
Maintain accurate documentation of compliance activities with IRS regulations.
Coordinate with vendors to generate, process, and distribute 1099 and 5498 forms.
Respond promptly and professionally to internal and external tax inquiries.
Escalate complex issues appropriately to senior team members.
Ensure quality and consistency in client service.
Maintain and update Standard Operating Procedures (SOPs).
Ensure full compliance with IRS regulations and company policies.
Identify risks in financial transactions and operational processes; recommend improvements.
Collaborate across departments to meet operational and compliance goals.
Assist in onboarding and training tax team members.
Lead and support tax-related projects, including developing a client and advisor-facing online tax guide.
Organize and execute best practice sessions and improvement initiatives.
Manage transaction reviews through the SIMPLE Tax system.
Implement regulatory changes in tax reporting requirements.
Complete B Notices, TIN/Name Matching, and respond to IRS and State Tax Board notices.
Produce management reports and facilitate tax system updates and mailings.
Qualifications:
4+ years of experience in 1099 and 5498 tax reporting within a Broker/Dealer or financial institution.
Bachelor’s degree preferred.
Availability for overtime during peak periods (e.g., year-end, tax season).
Series 6 and 26 licenses preferred.
Strong knowledge of IRS tax reporting regulations.
Advanced proficiency with PC applications (Excel and others).
Project management skills or experience leading multi-tiered initiatives.
