POSITION SUMMARY


 


Barton Malow Company is seeking a Temporary Office Coordinator to work on a project site near Levittown, PA. This role will be responsible for managing office operations, including maintaining supplies, coordinating with building management, organizing meetings, and handling guest interactions. This role will also assist with onboarding tasks, supporting, and business operations. The ideal candidate will be organized, communicative, and proficient in Microsoft Office programs.



KEY JOB RESPONSIBILITIES:



  • Order and maintain supplies, equipment, furniture, and technology in the office and on the jobsite.

  • Organizing, straightening, and maintaining the office.

  • Communication, coordination, and tracking with building owner (and other building tenants) and utility companies for items such as badges, parking, cleaning, utilities, payments, leases, issues, etc.

  • Planning, ordering, and arranging meetings, events, get togethers, etc.

  • Taking meeting minutes and distributing as needed.

  • Managing surveys and survey results for office team members.

  • Greet guests and sign in/out. Help with access to the building.

  • Answering the phone, directing, and screening calls and taking messages

  • Welcome new people to the office and arrange their set-up. Manage seating arrangements for the entire office.

  • Responsible for mail and delivery.

  • Recognize and coordinate team member birthdays, milestones, and other life/work events.

  • Assist with booking trips, reservations, etc.

  • Identify, contact and communicate with local community organizations.

  • Identify potential partnering opportunities and coordinate community events.

  • Assist with invoice entry and expense reports, as needed.

  • Develop presentations, as needed.



REQUIRED KNOWLEDGE, EDUCATION, EXPERIENCE, SKILLS, AND ABILITIES:



  • Proficient in Microsoft Word, Excel, PowerPoint, and PDF editing programs (such as Bluebeam).

  • Energetic with a willingness to learn and assist others with tasks.

  • Strong communication skills and attention to detail.

  • Organized, with the ability to manage multiple tasks and adapt to changing priorities.
