The Administrative Services Coordinator provides administrative and operational support to the Manufacturing & Industrial Systems Engineering Department. This position assists faculty, staff, students, and visitors by performing clerical, customer service, event support, and office coordination duties. The individual helps maintain efficient daily office operations and supports departmental activities, special projects, and academic functions.

Administrative Support
• Answer phones, emails, and in-person inquiries.
• Greet students, faculty, staff, and visitors in a professional manner.
• Schedule appointments, meetings, and conference rooms.
• Prepare, scan, copy, and file departmental documents.
• Maintain electronic and paper records.
Academic and Student Support
• Assist students with general departmental information and referrals.
• Support registration, advising, orientation, and student events as directed.
• Help distribute departmental communications and informational materials.
• Maintain student and departmental records in compliance with university policies.
Office Operations
• Monitor office supply inventory and submit replenishment requests.
• Assist with mail distribution and package handling.
• Support travel, purchasing, and payment documentation as assigned.
• Help organize departmental files, records, and shared resources.
Event and Program Support
• Assist with planning and coordination of meetings, workshops, seminars, guest speakers, and recruiting events.
• Prepare materials and provide logistical support for departmental activities.
• Set up and break down rooms and event materials as needed.
Other Duties
• Perform special projects as assigned.
• Provide coverage during staff absences or peak workload periods.
• Perform other related duties as necessary to support department operations.
Minimum Qualifications
• High school diploma or equivalent.
• Demonstrated proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
• Strong verbal and written communication skills.
• Excellent organizational and customer service skills.
• Ability to maintain confidentiality and handle sensitive information.
• Ability to work independently and as part of a team.
Preferred Qualifications
• Associate’s degree or coursework in business, office administration, or a related field.
• Experience working in a higher education environment.
• Familiarity with student information systems, document management systems, or university administrative processes.
