Job Title: Temporary Staff Assistant, Case Services
Location: Boston, MA 02163
Duration: 3 Months
Schedule: 35 hours/week
Description:Reporting to the Associate Director, Case Services, the temporary Staff Assistant works in close collaboration with the Associate Director and other members of the team as needed and has the following responsibilities:
- Administrative Support with Departmental Paper and Digital Files
- Assist in reorganizing existing file structure for department’s electronic project files
- Review, organize, and prepare batches of departmental paper project files for scanning by vendor
- Review vendor’s scanning work and ensure smooth integration of scanned files into existing departmental digital files
- Use equipment on site to scan and save additional departmental records for electronic storage and retrieval
- Liaise with scanning vendor, archiving staff in Baker Library, and other teams as necessary to ensure record-keeping standards are met and original paper files are properly retained
- Document the work involved in the scanning project so that work is done consistently
Basic Qualifications:- High school diploma, GED, or equivalent required
- Education beyond high school may count toward experience
- 3+ years of related experience
- Microsoft Office (Outlook, Word, Excel, Teams) and Adobe Acrobat experience is a must
Additional Qualifications and Skills:- Records management experience
- Strong written and oral communication skills, including the ability to communicate quickly, clearly, and succinctly
- High standards in terms of professionalism and quality of work product; meticulous attention to detail
- Ability to thrive in a fast-paced environment and act with grace under pressure
- Excellent time management and organizational skills
- Excellent interpersonal skills and demonstrated ability to build relationships across multiple units and levels in an organization
