Job Description - Tenant Coordinator


Tenant Coordinator | New York, New York | $50,000 - $55,000 per year | On-site  


The Role


EqualAccess is partnering with a nonprofit affordable housing developer and community organization with deep roots in New York City. This Tenant Coordinator role sits at the front desk and is the first point of contact for residents, guests, and vendors walking through the door or calling in.


The role touches a wide range of day-to-day operations: front desk coverage, lease administration support, maintenance coordination, mail handling, and internal communications. It is a generalist administrative position in a residential property setting, not a leasing or sales role, and not a remote or hybrid one.


This is a good fit for someone who is organized, genuinely warm with people, and comfortable switching between tasks without losing track of the details.


What This Role Is, and Is Not


This role is:


        A front-facing, on-site position where your presence and manner set the tone for residents and visitors every day


        An administrative support role that spans lease processing, work orders, purchase orders, office supplies, and mail distribution


        A coordination job, keeping multiple parties (property managers, maintenance staff, case managers, outside vendors) moving in the same direction


        A bilingual-forward position where Spanish or Chinese language skills will be used regularly, not occasionally


This role is NOT:


        A leasing agent or sales role


        A management position with direct reports


        A remote or flexible-schedule job


        A specialized role in a single function, you will be expected to cover a range of administrative tasks as needs shift


Required Experience & Traits


•     Entry-level role, 0–2 years of relevant experience preferred        


•     Bilingual in English and Spanish or English and Chinese (Mandarin or Cantonese), required for day-to-day resident  communication


        Proficient in Microsoft Office, including Word, Excel, and PowerPoint


        Strong multitasker who can hold several open threads at once without dropping details


        Calm and measured when dealing with frustrated or upset residents, able to listen, de-escalate, and loop in the right person for resolution


        Organized and reliable with administrative processes: filing, scheduling, order tracking, document routing


        Professional and relationship-oriented with internal colleagues and external partners alike


        High school diploma or equivalent required; administrative or secretarial training is a plus, though hands-on experience in a similar environment matters more


Key Responsibilities


Front Desk & Resident Relations


        Greet residents and guests in a welcoming, professional manner, answer general questions, and direct individuals or calls to the appropriate person


        Provide written and verbal translation support in Spanish or Chinese as needed


        De-escalate tense interactions calmly, acknowledge concerns without judgment, and bring in the right colleague to help find a resolution


Administrative & Office Operations


        Receive, sort, and distribute incoming mail and packages accurately and on time


        Monitor and maintain office supplies inventory, coordinating with the Property Manager to place orders before stock runs out


        Maintain timecards accurately and submit all HR and fiscal documentation by required deadlines


Maintenance Coordination Support


        Assist the Maintenance Administrative Supervisor in creating Work Orders and Purchase Orders in response to maintenance requests, tenant-caused repairs, inspections, and supply purchases from local vendors


        Help process credit card invoices related to maintenance activity


        Schedule Con Edison inspections and coordinate with building staff, including the porter, to ensure timely completion


Lease & Documentation Administration


        Receive and review tenant renewal leases, flagging items and coordinating with relevant departments for any necessary follow-up


        Receive and distribute marketing documents to the appropriate case managers, keeping internal communications flowing without delay


Organizational Standards & Teamwork


        Complete all required training on schedule


        Schedule medical, dental, and time-off requests in advance through Paylocity, per the policy


        Support contracts and projects as part of the broader property team


        Bring a collaborative, service-oriented mindset that reflects commitment to the communities it serves
