Job Description - Therapy Clerk

Position Summary:
The Therapy Clerk provides essential administrative and operational support to the Therapy Department at Minneola Healthcare. This role is responsible for patient-facing and behind-the-scenes tasks that ensure the department runs efficiently. Duties include scheduling, prior authorizations, registration support, payment collection, charge review, chart preparation, inventory management, and assistance with medical records. The ideal candidate will be organized, detail-oriented, and possess excellent communication and multitasking skills.


 


Key Responsibilities:



  • Schedule patient appointments and therapy sessions in coordination with providers and patients.

  • Complete and track prior authorizations for therapy services with insurance providers.

  • Prepare and maintain patient charts in compliance with healthcare regulations and departmental protocols.

  • Review, verify, and assist with entering therapy charges for billing accuracy.

  • Clean therapy equipment and treatment areas to maintain hygiene standards.

  • Assist with hospital registration and provide outstanding customer service to patients.

  • Collect co-pays and patient payments in accordance with the organizational policies.

  • Order department supplies, manage inventory levels, and ensure timely reordering.

  • Answer department phones; route calls appropriately and take accurate messages.

  • Scan, fax, and electronically upload patient records into the medical record system.

  • File paper records and assist with maintaining organized, secure, and accurate medical records.

  • Collaborate with the Medical Records department to ensure documentation compliance.

  • Provide additional clerical or support duties as needed by the therapy team or administration.


 


Qualifications:



  • High school diploma or equivalent required.

  • Prior experience in a healthcare or medical office setting is a plus.

  • Knowledge of prior authorization and insurance processes is a plus.

  • Strong organizational skills and the ability to prioritize multiple tasks.

  • Effective communication and customer service skills.

  • Familiarity with electronic health record (EHR) systems and office software.

  • Ability to handle confidential information with discretion (HIPAA compliance required).


 


Work Conditions:



  • Full-time, onsite position; Monday through Friday.

  • Occasional weekend or extended hours may be required based on departmental needs.

  • Frequent interaction with patients, staff, and external organizations.

  • Standard healthcare environment, with exposure to medical equipment and patient care areas.
