Position Overview:

The Trust Assistant provides administrative and operational support to the Trust Services team in the processing of trust-related transactions, including foreclosure and trustee sale activities. This role assists with file preparation, document processing, deadline tracking, and communication with internal teams and external partners to ensure trust matters are handled accurately, timely, and in compliance with applicable regulations and company procedures. The Trust Assistant works under the direction of the Trust Officer and performs procedural support duties only. 

Key Responsibilities:

  • Assist the Trust Officer with the preparation, coordination, and processing of trust-related files. 
  • Prepare and process trust documents including notices, default packages, trustee sale paperwork, deeds of reconveyance, and release documents. 
  • Assist with setup, maintenance, and tracking of trust files from opening through completion. 
  • Monitor statutory deadlines, recording requirements, and sale timelines; escalate issues or concerns as appropriate. 
  • Ensure documents are properly routed, recorded, and filed.
  • Assist with opening, maintaining, and reconciling trust-related bank accounts as directed. 
  • Support the execution of disbursements and bank wires per administrative instructions. 
  • Maintain accurate, organized electronic and physical file records. 
  • Perform document cleanup, recording follow-up, and post-sale documentation support. 
  • Ensure compliance with TitleOne standards, internal controls, and regulatory requirements.
  • Communicate professionally with lenders, attorneys, title companies, internal departments, and other parties involved in trust transactions. 
  • Respond to inquiries regarding file status and procedural questions under the direction of the Trust Officer.
  • Interact and communicate in a professional and effective manner with all levels of team members, leadership, customers, and external partners. 
  • Performs other functions as necessary or as assigned. 

 

Required Qualifications: 

  • High school diploma or general education degree (GED). 
  • Prior experience in title, escrow, trust services, foreclosure, or a related administrative role preferred. 
  • Strong organizational skills with the ability to manage multiple tasks and deadlines. 
  • High attention to detail and accuracy. 
  • Strong verbal and written communication skills with a professional demeanor. 
  • Ability to follow detailed procedures and work effectively in a regulated environment. 
  • Proficiency with Microsoft Word, Excel, Outlook, and Windows-based applications. 
  • Ability to read and interpret transactional documents.

Preferred Qualifications: 

  • Experience supporting foreclosure or trust service operations. 
  • Familiarity with recording processes and county-specific requirements. 
  • Experience handling trust documentation or transactional disbursements.

Work Environment and Physical Requirements:

The physical demands described herein are representative of those required to successfully perform the essential functions of this position. The role is primarily performed in an indoor office environment and requires extended periods of sitting, computer use, and frequent verbal and written communication. The position may require occasional standing, walking, and lifting of materials up to 25 pounds.
