Job Summary
The Training Representative is responsible for coordinating the daily operations of the training center front desk, assisting with administration of team member events and programs, and for providing excellent guest service when interacting with internal and external guests. Duties include being welcoming and taking care of team member needs regarding training and development; setting - up training and team member events; maintaining supplies, organization and cleanliness of the training space; administering of tasks for team member events and programs and adhering to Viejas Casino & Resort standards.
Job Description
• Serves as the first point of contact for Training and team member events and programs. Greets, directs, and provides information to visitors, team members, vendors, and guests regarding Training, team member events and programs and other general HR inquiries.
• Fosters a guest-focused culture, taking initiative to handle matters within appropriate authority.
• Assists with moving paperwork pertaining to Training and team member events and programs through the system, including managing invoices, requisitions, and check requests.
• Tracks activity on excel, manages administrative sites, and communicates with departments and team members for needed items and services.
• Assists with administrative tasks involving team member events and programs including wellness activity tracking, wellness reimbursements, tuition reimbursements, blood drives, flu shots, wellness contests, and other associated Wellness program initiatives using excel or other software.
• Demonstrates knowledge of data and organization information to complete “reasonable checks” on data received and entered. Contacts appropriate manager or Team Member if additional information is needed.
• Coordinates new hire and Team Member training preparation, team member communication (training and events and programs updates and TM Insider texts), Team Member appreciation programs (length of service, recognition, birthday breakfast) and grades quizzes and tests.
• Assists with EVolution Weekly newsletter and other team member communications such as emails, posters, signs or banners.
• Adds new information to files in a timely manner and/or transfers them to electronic storage.
• Checks files to make sure that all items are correctly sequenced and placed.
• Orders and maintains Training and Wellness forms, manages and replenishes office supplies and materials as needed.
• Protects company assets and reports any fraudulent activity to Surveillance Department and Management and maintains a confidential work environment.
• Follows company and departmental policies and standard operating procedures, and any applicable governmental laws and regulations.
• Acts as a leader in adherence to Viejas standards of appearance, grooming, professionalism, and guest service.
• Ensures that a clean, safe, hazard-free work environment is maintained.
• Provides support with any Training and team member events and programs projects and initiatives, Human Resources, and other duties as needed.
• Does not provide supervision to others.
• High School Diploma or equivalent required.
• Bachelor’s degree or equivalent experience preferred.
• 2 to 4 years of customer service, Human Resources, Training or Wellness program experience required.
• Experience working with a variety of desktop and Microsoft Office software preferred.
• Experience with training and/or teaching preferred.
• Demonstrated strong customer service skills including enthusiastic, energetic, professional, friendly and courteous manner at all times.
• Excellent verbal, written, and interpersonal communication skills.
• Ability to perform duties assigned with meticulous attention to detail.
• Advanced working computer skills, including data entry, Microsoft Office Suite (Outlook, Word, and Excel), photocopy and scanning machines.
• Strong administrative skills.
• Ability to produce creative ideas and collaborate with others to accomplish a common goal.
• Ability to read and comprehend instructions correspondence and memos and write clear instructions, descriptions, and memos
• Detail-oriented, organized, values teamwork, self-motivated, and ability to multitask.
• Ability to work in a fast-paced, deadline oriented environment.
• Must be a self-starter and able to adjust to change.
• Ability to learn new software and administrative training and wellness websites.
• Ability and willingness to maintain a high level of confidentiality, diplomacy, tact, and professionalism.
