Barr-Reeve Community Schools is seeking a dedicated and detail-oriented Transportation Secretary to support the daily operations of our Transportation Department. This individual will serve as the administrative hub for coordinating school transportation logistics, maintaining compliance documentation, and ensuring clear communication among staff, drivers, and families.
This is an essential role in keeping our students safe and our transportation system running smoothly.
Essential Responsibilities
Scheduling & Coordination
Coordinate and maintain daily AM/PM route schedules, field trips, and other school-related transportation in collaboration with the Transportation Manager.
Work directly with the Athletic Director to organize and schedule transportation for all athletic events.
Ensure timely communication of route or schedule changes to appropriate school staff and drivers.
Support communication and scheduling of substitute drivers.
Compliance, Safety, & Recordkeeping
Maintain up-to-date CDL records and physical documentation for all bus drivers.
Organize and facilitate required random drug testing for CDL drivers.
Track and submit accurate time records for transportation staff.
Maintain detailed records of trip requests, incident reports, and transportation-related documentation.
Communication & Technology
Serve as a liaison between building secretaries, teachers, bus drivers, and office staff regarding transportation needs and changes.
Ability to handle phone calls and in-person inquiries from parents, drivers, and staff professionally and courteously.
Update and manage student transportation information in Harmony (Student Information System).
Utilize Google Workspace (Docs, Sheets, etc.) for daily administrative tasks.
Other Duties
Support the Transportation Manager and Superintendent with assigned administrative tasks.
Provide excellent customer service and foster a positive, professional environment.

Qualifications
Technical & Administrative Skills
Proficiency in Google Workspace (Docs, Sheets, Gmail); strong keyboarding and file management skills.
Experience with Harmony or similar student information systems preferred.
Basic understanding of student data confidentiality (FERPA) and school transportation standards (e.g., DOT/CDL).
Ability to organize multiple priorities, manage schedules, and maintain accurate records.
Interpersonal & Communication Skills
Effective verbal and written communication skills.
Positive, professional demeanor with a strong sense of discretion and confidentiality.
Ability to remain calm and responsive during high-pressure or emergency situations.
Experience in customer service or conflict resolution preferred.
Experience & Credentials
Experience working in a K–12 school or transportation setting preferred.
CPR/First Aid certification, or willingness to obtain.
Understanding of transportation considerations for students with IEPs or 504 plans.
