Responsibilities


Travel Coordination



  • Serve as the primary point of contact for all employee travel requests.

  • Coordinate travel arrangements including flights, hotel accommodations, and rental vehicles while adhering to company policies and cost considerations.

  • Reconcile travel expenses, ensuring proper documentation and coding to the appropriate department or project.

  • Provide assistance for urgent or after-hours travel-related issues as needed.

  • Maintain a high standard of customer service when supporting employees during travel.


Accounts Payable



  • Assist in processing vendor invoices accurately and in accordance with established financial policies and procedures.

  • Assist in preparing and executing the weekly check run.

  • Assist in reviewing invoices, statements, and payment documentation for completeness and accuracy.

  • Collaborate with buyers, receivers, and vendors to resolve discrepancies promptly.

  • Assist in ensuring timely and accurate vendor payments and maintain positive vendor relationships.

  • Assist with continuous improvement of accounts payable workflows.


Qualifications



  • Minimum of one year of experience in a customer service–driven role, preferably with prior travel coordination experience; previous experience in accounting or a related field is a plus.

  • High School Diploma required; Associate degree in Accounting or a related field preferred.

  • Proficiency in Microsoft Office applications, with a strong emphasis on Microsoft Excel.

  • Excellent written and verbal communication skills.

  • Demonstrated accuracy and strong attention to detail in financial and administrative tasks.

  • Effective time management skills with the ability to prioritize responsibilities and meet deadlines in a fast-paced environment.

  • Proven professionalism, discretion, and commitment to maintaining confidentiality.

  • Customer-focused mindset with the ability to provide responsive, courteous, and effective support to internal and external stakeholders.

  • Strong problem-solving skills, including the ability to identify discrepancies and resolve issues efficiently.
