Perform general reception and administrative duties in support of the company’s property management objectives. Will serve as receptionist for both Umpqua Property Service LLC (UPS) and the Umpqua Business Center (UBC), providing frontline customer service and tenant support. Typical duties to include opening/closing the building; greeting and directing guests, handling calls, mail distribution, booking & managing conference room rentals, light housekeeping & common area presentation, etc. Will also perform admin support to include tenant communications; sending and receiving applications, leases, and other required departmental documents; data entry, supplies ordering, etc.  Assists with file management of both hardcopy and electronic documents and records. Routinely assists with updating (data collection, entry, reporting, etc. ) the department’s property management software system as directed. 

  • Provide reception duties for UBC & UPS as instructed.
  • Responsible for conference room scheduling, setup, presentation, cleanup, etc. 
  • Performs general office and property management support duties.
  • Assists with keeping the department’s property management software system updated at all times, processing tasks, payments, work orders, notices, etc. to keep records current at all times.
  • Must have User level proficiency with database systems, experience with property management or facilities systems preferred.
  • Distribute applications and answer related questions to prospective tenants.
  • Sends, receives, and coordinates electronic document signing as directed.
  • Maintains tenant records and waiting lists.  Keeps property and project records and files updated and organized including hard files and electronic data entry.
  • Receives payments, records charges and rebills, and posts transactions in PM software system.
  • Assist with scheduling, notifying residents, and coordinating periodic property inspections.
  • Assists the Property Manager in tracking information, running reports, and performing data analysis as needed. 
  • Provides constructive input to foster process improvement within the department.
  • Maintains confidential information that is received in verbal, written, and electronic media.  Limits access to information on a job-related, need-to-know basis.
  • Other related duties as needed or assigned.

Requirements

  • High School Diploma or GED Certificate required.
  • 1 to 3 years of office administrative experience (prop mgt, real estate, or facilities related experience preferred). 
  • Must have excellent organizational, verbal, interpersonal and customer relation’s skills.
  • Must be a proficient computer user with demonstrable experience with common office software programs (MS Word, Outlook, Excel, PowerPoint, Acrobat, etc.) 
  • Must be a self-directed learner and a creative problem solver.
  • Excellent customer service approach when dealing with visitors and tenants.
  • Analytical/mathematics skills essential.
  • Able to read, comprehend and follow instructions without direct supervision.
  • Strong organizational skills and attention to detail. 
  • Ability to multi-task and complete assignments with limited oversight.
  • Current and valid Driver’s License with the ability to qualify for the UIDC Drivers Program.
