Job Description - Utility Billing Clerk

Job Description

Position Purpose: 

This position is responsible for establishing and maintaining a favorable image for Veolia and their Clients while performing routine and complex utility billing duties including customer service, maintenance of customer account records and general accounting activities.

Primary Duties/Responsibilities: 

  • Provide excellent customer service to utility customers and Veolia Clients.
    • Assist new customers in account set-up, changeovers, and answer routine questions by phone, email and at the counter.
    • Respond to customer requests or concerns sent through the mail or by email.
    • Process work orders for utility disconnections, reconnections, new orders and other customer requests.
    • Process utility payments daily received through mail, electronically, in person or in drop boxes.
  • Maintain and prepare utility billings
    • Create and update customer account files/records for monthly or quarterly utility services.
    • Set up new commercial/residential accounts.
    • Enter meter information provided through meter sales slips, or other means.
    • Process meter reading data o Process commercial/residential meter changes.
    • Perform account usage entry, billing calculations, verifications and adjustments.
    • Generate an electronic bill print file for export to contracted printing company for monthly statement mailings.
    • Set up and maintain meter reading routes.
  • Prepare, process and collect current and delinquent accounts.
    • Prepare and mail delinquent notices.
    • Adjust accounts for delinquency for special assessment certification.
  • Prepare and analyze utility billing reports.
    • Prepare various utility reports for account reconciliation with the general ledger and audit them for completeness and accuracy.
    • Analyze meter verification reports to identify inaccurate readings.
  • Cash receipts and deposit preparation.
    • Sort and batch cash payments received by the department.
    • Prepare daily cash deposits for the bank.
    • Assemble and maintain source documents for daily deposits.
    • Update the cash book by entering daily deposits with accuracy.
  • File information, monitor and purge records in accordance with retention schedule.
  • Write routine correspondence and reports (e.g. memos, inquires, status/activity reports).

Work Environment: 

  • This is an onsite role in our Albertville, MN location.
  • This is a non-union role in a non-union facility.
  • Dress is business casual.
  • Closed toed shoes are always required.
  • When outside of the office and in the plant area, full PPE is required.

Qualifications

Education/Experience/Background: 

  • High School Diploma/GED is required.
  • One Year Experience Required or a Two (2) year accounting or business degree.
  • Two (2) years of clerical and customer service experience.
  • Two (2) years of experience working with financial records preferred.
  • Two (2) years of data entry experience and 10-key proficiency.
  • Two (2) years of experience in utility billing preferred.

Knowledge/Skills/Abilities: 

  • Proficiency in using Microsoft Access, Word, Excel, and Google Suite.
  • Demonstrates strong technical accounting knowledge and analytical skills.
  • Must be able to speak to give direction and converse with others.
  • Must be able to read complex operations and financial reports. Write detailed reports and prepare and deliver presentations. Analyze complex operational and technical challenges and resolve same.
  • Strong communications skills, both oral and written.
  • Strong team and project management skills (initiating, planning, executing, monitoring, controlling and closing) with the ability to delegate work, hold individuals accountable, set goals, evaluate performance, and encourage collaboration.
  • Strong interpersonal skills with the ability to build and manage key stakeholder relationships across the organization.
  • Highly organized with the ability to prioritize and manage numerous projects with competing priorities.
  • Good organization, interpersonal, and teamwork skills.
  • Ability to function in the digital world, using computer, laptop, tablet, smart phone devices and software to communicate, perform, and record work.
  • Self-starter, strong drive and result oriented.

Required Certification/Licenses/Training: 

  • Valid local state driver’s license required.

Physical Requirements: 

  • Walk, stand, and sit for prolonged periods of time.
  • Frequently stoop, bend, kneel, crouch, crawl, climb, reach, twist, grasp, and make repetitive hand movement in the performance of daily duties.
  • Ability to lift, carry, push and/or pull moderate amounts of weight.
  • Must be able to see clearly and hear.

Additional Information

Pay Range: $27.40 to $36.53 per hour.

Benefits: Veolia’s comprehensive benefits package includes paid time off policies, as well as health, dental and vision insurance. In addition, employees are also entitled to participate in an employer sponsored 401(k) plan, to save for retirement. Pay and benefits for employees represented by a union are outlined in their collective bargaining agreement.
