Job Description:

The Business Operations Assistant role with Job Duck offers the opportunity to take ownership of a dynamic and detail focused position that directly supports financial processes and daily business operations. This role combines budget tracking, administrative coordination, and operational support, allowing you to play a key part in maintaining accuracy, organization, and efficiency across internal workflows. You will be responsible for overseeing financial data, supporting leadership with reporting and coordination, and ensuring that day to day operations run smoothly and effectively. Your work will contribute to improved visibility, structured processes, and consistent execution across the organization. This position is ideal for someone who thrives in structured environments, values precision, and takes initiative to enhance processes while maintaining professionalism and accountability.


• Compensation Range: $1,060 to $1,150 USD

Responsibilities include, but are not limited to:

  • Reconcile financial transactions and keep documentation organized and audit ready
  • Draft and manage routine communications on behalf of the team
  • Assist with additional administrative projects and evolving business needs
  • Maintain and manage the company budget, ensuring records remain accurate and up to date
  • Prepare financial reports and summaries to support leadership decision making
  • Coordinate invoices and payments with vendors and internal teams
  • Track income and expenses and identify any discrepancies or concerns
  • Assist with financial forecasting and planning initiatives
  • Provide administrative support including scheduling, communication, and documentation
  • Maintain organized filing systems for financial and operational records
  • Support leadership with research, reporting, and daily operational tasks

Requirements:

Required Skills

• 1 or more years of experience in administrative support, bookkeeping, business operations, or related roles preferred
• Strong English proficiency with clear and professional written communication
• High attention to detail and strong numerical accuracy
• Excellent organizational and time management skills
• Ability to manage sensitive financial information with discretion
• Ability to prioritize tasks and manage multiple responsibilities
• Proactive mindset with the ability to identify issues and take initiative
• Strong problem solving and analytical thinking skills
• Ability to work independently in a remote environment
• Collaborative mindset with the confidence to provide feedback and suggestions

Additional Details

• Full time remote position
• Work schedule aligned with Central Standard Time
• Office hours are 8:00 AM to 5:00 PM CST

• Business operations and financial support focused role
• Minimal call volume expected
• High level of written English required
• Ability to work independently with minimal supervision
• Strong organizational skills with ability to manage structured workflows
• Comfortable working with financial data and reporting processes

• Spreadsheet tools: Excel or Google Sheets
• Accounting software: QuickBooks, FreshBooks, or similar
• Communication tools for internal coordination
• Email and calendar management platforms

Work Shift:

8:00 AM - 5:00 PM [CST][CDT] (United States of America)
