Job Description:

Job Duck is seeking a dedicated Intake Specialist to join our team. In this role, you will be the first point of contact for potential new clients, ensuring that every inquiry is handled with professionalism, empathy, and accuracy. You will guide individuals through the intake process, support Spanish-speaking contacts, and help transition new matters seamlessly to the legal team. This position is ideal for someone who thrives in a client-facing environment, enjoys problem-solving, and takes pride in delivering exceptional service. If you are detail-oriented, reliable, and motivated by helping others, you will find this role both rewarding and impactful.

• Monthly compensation: 1142 USD to 1220 USD

Responsibilities include, but are not limited to:

  • Maintain accurate records in CRM and case management systems

  • Communicate effectively with clients, prospects, and internal team members

  • Support the firm administrator and legal team with intake-related tasks

  • Guide potential new clients through the intake process, including drafting representation agreements and verifying payments

  • Transition new matters to the legal team once intake is complete

  • Provide translation support for Spanish-speaking contacts

  • Request and follow up on client reviews, alerting the marketing team of new feedback

  • Triage incoming calls and web submissions to ensure timely and accurate responses

Requirements:

•2-3 years of experience with intake tasks

•Experience in customer service roles

•Legal background is appreciated

•Office Hours: 8:30 AM – 5:30 PM EST

•Expected Call Volume: 16–30 calls per day

•Spanish and English proficiency required

• Software/Tools: Lawmatics, 8x8, Slack, Clio, Outlook, Active Campaign

Work Shift:

8:30 AM - 5:30 PM [EST][EDT] (United States of America)

Languages:

English, Spanish
