Job Title: Vehicle Billing Assistant
We are looking for a detail-oriented and organized individual to join our Accounting team as a Vehicle Billing Assistant. In this role, you will support our sales and operations teams with various tasks related to vehicle transactions, including wholesale and street purchases. You will help manage vehicle sales reports, inventory tracking, logistics, and assist with deal packaging and payoffs.
Key Responsibilities:
- Data Processing & Accounting: Accurately enter data for intercompany transfers and vehicle sales.
- Wholesale Operations: Handle outbound and inbound wholesale transactions, ensuring proper documentation and inventory management.
- Inventory Tracking: Maintain accurate records of used vehicle inventory, tracking status, sales, and intercompany transfers.
- Logistics Support: Assist with outbound shipping (UPS) for sales documents.
- Deal Packaging & Payoffs: Prepare and package vehicle deals, and process payoffs for completed transactions.
- Post-Sale Processing: Assist with posting used vehicle deals in the system, ensuring accurate transaction records.
- Deal Posting: Over time, take on the responsibility of posting and finalizing used and new vehicle deals in the accounting system.
Required Skills:
- Strong organizational and time management abilities.
- High attention to detail with the ability to juggle multiple tasks.
- Excellent communication skills to collaborate with internal teams and wholesale dealers.
- Previous experience in automotive sales or wholesale transactions is a plus, but not required.
- Proficiency in Microsoft Excel, data entry, and general computer skills.
Additional Responsibilities:
- Perform other tasks as assigned by management. The above list is not exhaustive, and additional duties may be assigned based on company needs.
Employment Details:
- Probationary Period: You will be considered a probationary employee for the first 90 days. Continued employment is contingent upon a favorable performance review.
- Background Checks: A motor vehicle report, criminal background check, and drug screen are required.
- Leave: You will receive 40 hours of paid sick leave at the start of employment for use in 2025. It will refresh to 40 hours at the start of 2026. Vacation time is earned after 1 year of employment.
- Work Schedule: Monday through Friday, 8:00 AM to 5:00 PM.
- Benefits: After your probationary period, you will be eligible for benefits, including health, dental, vision, life, disability, critical illness, 401k (with employer match), and profit-sharing.
