The Vision Coordinator monitors and coordinates the patient flow in the clinical area and provides support to the Vision Department.
Essential Functions
Verify prescription glasses and notify patients when eyewear is ready for pick up and assist with dispensing non-Ryan White patient glasses or contact lenses.
Monitor the Vision EHR desktop – responding to and/or forwarding flags/documents in a timely manner including flags for Retinal Camera Screenings.
Assist in triage of urgent care patients with assistance from Vision Care Practice Manager as needed.
Monitor incoming faxes and call volume, and return voice messages in a timely manner.
Manage Vision provider schedules – including but not limited to monitoring the schedule for reschedule requests, filling open appointment slots, scheduling new patients, and canceling appointments.
Manage recall list, and run a monthly recall list of patients and schedule them for their follow up visits.
Run daily Inquiries in the EHR Vision Referral desktop for Internal Vision Referrals from other Legacy service lines. Schedule patients referred internally, and update service orders with contact attempts. ·
Provide assistance with cross coverage for fellow Vision care staff.
Receive training on Ryan White CPCDMS system.
Maintain communication with Vision Care Practice Manager—update on issues/questions/ suggestions for improvement.
Attend and participate in Vision Team Meetings and other necessary meetings as assigned.
Participate in the Performance Improvement Program.
Translate for providers when needed.
Perform other duties as assigned.
Education & Training Requirements
High School Diploma or GED
At least 3 years of experience in an optometric office, preferred
Spanish/English bilingual, preferred
