The Volunteer & Event Coordinator plays a vital role in advancing the mission of Animal Friends Humane Society (AFHS) by managing and strengthening the volunteer program while planning, coordinating, and executing events that support adoptions, fundraising, and community engagement. This position is responsible for recruiting, training, scheduling, and supporting volunteers, as well as organizing on-site and off-site events that promote the shelter and its animals.
The ideal candidate is highly organized, people-focused, flexible, and comfortable working in a fast-paced animal shelter environment. This role requires regular weekend work, the ability to drive the organization’s van, and a willingness to assist with a wide range of operational and logistical needs as they arise.
Responsibilities:
Volunteer Coordination
Develop, implement, and maintain a structured volunteer program, including recruitment, orientation, training, scheduling, and recognition.
Create and maintain Standard Operating Procedures (SOPs) for volunteer roles and processes to ensure consistency, safety, and long-term program growth.
Maintain accurate volunteer records, track hours, and provide regular reports to management.
Match volunteers to appropriate roles based on skills, availability, and shelter needs.
Foster a welcoming, supportive, and professional environment for volunteers.
Coordinate individual volunteers, volunteer groups, corporate service days, and community service projects.
Serve as a primary point of contact for volunteer questions, concerns, and feedback.
Oversee the county’s court ordered community service program
Event Coordination
Plan, coordinate, and execute shelter events, including adoption events, fundraising events, community outreach events, and off-site programs.
Coordinate logistics for events, including scheduling staff and volunteers, securing supplies, setting up and breaking down event spaces, and ensuring smooth event flow.
Serve as the on-site lead for events, ensuring volunteers are properly assigned, briefed, and supported.
Coordinate transportation of animals, supplies, and equipment to and from off-site events using the shelter van and RV.
Work collaboratively with shelter staff, vendors, sponsors, and community partners to ensure successful events.
Evaluate events and provide feedback or recommendations for future improvement.
Establish and maintain collaborative relationships with event partners and providers
Transportation & Errands
Drive the organization’s van and Petmobile as needed to transport animals, supplies, donations, and event materials.
Assist with miscellaneous errands such as picking up supplies, donations, food, or equipment related to shelter operations and events.
Ensure vehicles are kept clean, fueled, and properly maintained; report any maintenance or safety concerns promptly.
Other Duties
Support adoption, fundraising, and outreach initiatives through volunteer and event coordination.
Assist with general shelter operations as needed, including occasional hands-on assistance with animals or facility needs.
Maintain clear and professional communication between volunteers, staff, and management.
Perform other duties as assigned by the Executive Director or management team.
Qualifications:
Associate or bachelor’s degree preferred, or a minimum of two years of relevant experience in volunteer coordination, event planning, nonprofit work, or a related field.
Minimum one year of experience coordinating volunteers, events, or community programs.
Strong organizational, time-management, and problem-solving skills.
Ability to manage multiple priorities and adapt to changing needs.
Excellent interpersonal and communication skills; comfortable working with diverse groups of people.
Proficiency with Microsoft Office or similar scheduling and record-keeping tools.
Ability to create, document, and follow procedures and SOPs.
Commitment to humane animal care, shelter safety protocols, and disease prevention practices.
Must hold a valid driver’s license with a clean driving record and be eligible to be added to the organization’s auto insurance policy.
Availability to work weekends is required; occasional evenings and holidays may be necessary.
Physical Demands & Work Environment
Must be able to lift up to 50 pounds safely.
Work is performed in an animal shelter environment with exposure to animals, cleaning chemicals, and zoonotic diseases.
Regular exposure to loud noises, odors, and varying weather conditions, including outdoor events.
Must be able to bend, stoop, lift, walk, and stand for extended periods of time.
