Description

The Volunteer & Events Coordinator is responsible for volunteer recruitment, orientation, development, motivation, retention and recognition for all club related events. The coordinator will conduct Club assessments to determine individual Club needs and maintain volunteer service records. The coordinator will also lead and assist in the planning, coordination, and management of all Boys & Girls Clubs of Central Iowa’s special events. 

Requirements

MAJOR DUTIES AND SPECIFIC RESPONSIBILITIES (Inclusive, but not limited to):

  • Is responsible for the coordination, planning and implementation of the volunteer recruitment process.
  • Is responsible for interviewing and completing the screening process on all new volunteers prior to the referral of a Club site or engagement in a special event.
  • Develop and maintain volunteer personnel policies and volunteer handbook, and ensures all volunteers complete an annual volunteer satisfaction survey including following up at the end of an event.
  • Ensures all new volunteers receive the basic Boys & Girls Clubs of Central Iowa onboarding and orientation.
  • Keeps updated information on volunteer software of all volunteers regarding skills, positions and the number of active volunteers in each Club site and/or event.
  • Is responsible in following up with Club operations staff regarding the use and retention of all volunteers assigned to their respective Club sites.
  • Is responsible to monitor all fiscal activities within the Volunteer Department to ensure activities remain within the approved budget.
  • Is responsible for actively recruiting and reaching out to volunteers through networking events, community engagement, and volunteer fairs.
  • Seek and attend community and networking events to promote Boys & Girls Clubs of Central Iowa.
  • Responsible for managing volunteers before, during, and after all special events which includes recruiting special event volunteers, scheduling orientation for events, and facilitating.
  • Assist/monitor with club related events including Embrace a Family, Thanksgiving meal prep, Trunk or Treat, and other similar yearly events.
  • Lead and assist Resource Development team in the planning, coordinating and supervision of all elements related to special events.
  • Assist in developing innovative strategies to leverage funds in support of special events. 
  • Collaborate with Chief Development Officer and board leadership to ensure effective and appropriate solicitation of funds in support of special/club related events. 
  • Select and manage event contractors, vendors as needed. 
  • In collaboration with the Resource Development team, develop external fundraising and stewardship collateral, including an annual report, case statement, impact reports and newsletters.

GENERAL/OTHER DUTIES AND RESPONSIBILITIES

  • Promote high ethical and professional standards in all activities and with all agency staff.
  • Maintain ethical standards established for fundraising professionals.
  • Maintain confidentiality of donor information.
  • Ensure that supervisor is informed of any recurring or significant problems in a timely manner.
  • Perform other related duties and responsibilities as required or as assigned.

POSITION QUALIFICATIONS:

Bachelor’s degree from an accredited college or university in communications, event management, public relations, or related field required. At least two years of work experience including but not limited to direct work with volunteers. Successfully history of managing special events in a non-profit setting preferred, including experience with donor relations. Knowledge of Boys & Girls Clubs preferred.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Superior writing, editing, and verbal communication skills, including the ability to write and speak persuasively.
  • Proven expertise successfully managing non-profit events.
  • Advanced computer literacy skills and data analysis ability is key.
  • Outgoing and energetic, able to communicate and work well wide variety of people and personality types.
  • Goal-oriented with ability to work independently and meet deadlines.
  • Strong attention to detail and ability to work with a high degree of accuracy.
  • Excellent organizational skills, including the ability to work with multiple projects concurrently, prioritize workload, and consistently meet deadlines.
  • Data driven, with the ability to make a case for support and illustrate impact.
  • Ability to create detailed budgets and financial reports.
  • Proficient in Donor Perfect or comparable donor database.
  • Creative, team player with the ability to work in a fast paced, quickly changing environment.
  • Self-starter with a high degree of initiative.
  • Ability to work well independently and as a member of teams.
  • Passion for communicating BGCCI’s mission.
  • Positive and professional attitude and demeanor.
  • Valid Iowa State Driver’s License and a clean driving record.
  • Ability to pass a background check.
