Job Summary: Volunteer Assistant/Receptionist – Mercy Kitchen

Under the direction of the General Manager and Volunteer Services Manager, this position is responsible for helping to manage the Volunteer scheduling, recruitment, recording volunteer hours in addition to providing a meaningful volunteer experience. This position will also support the warehouse/kitchen inventory systems by providing data entry and other inventory management system duties as assigned.

Second Harvest Food Bank of Central Florida is a member of Feeding America – the largest charitable domestic
hunger-relief organization in the United States. Second Harvest Food Bank secures and distributes food and grocery

products to more than 870 local nonprofit feeding partners throughout Central Florida. With the help of food and financial
donors, volunteers and a caring, committed community, the food bank distributes 300,000 meals every day to a seven-county
service area, which includes Brevard, Lake, Marion, Orange, Osceola, Seminole and Volusia. Feeding neighbors
facing hunger is only the beginning. By investing in job training programs, advocating for access to nutritious foods, and
inspiring our community to get involved, Second Harvest Food Bank is leaning into the root causes of hunger and helping
our neighbors thrive. 

Department Overview

 Plates of Plenty is a service that provides freshly prepared meals to early childcare centers, children after school programs, group homes, senior feeding programs, and private and charter schools. Plates of Plenty's goal is to provide the freshest, healthiest, and least processed ingredients available, and to deliver them in a safe and timely manner.  

Schedule / Work Hours

Full-time, Monday-Friday: 7:00AM - 3:30PM

Job Responsibilities

  • Collaborate with supervisors to assess volunteer needs and determine appropriate staffing levels for programs and events.
  • Support the development of new volunteer partnerships through outreach efforts, including volunteer fairs, community events, and partnerships such as United Way.
  • Coordinate and schedule individual volunteers and volunteer groups to meet operational needs.
  • Accurately enter and maintain volunteer records, including hours and assignments, in Volunteer Hub.
  • Confirm volunteer group schedules and communicate details to ensure preparedness and attendance.
  • Provide orientation and onboarding to new volunteers, including safety guidelines, expectations, and assignment instructions.
  • Escort volunteers to assigned projects and, when needed, work alongside them to ensure tasks are completed effectively.
  • Review and approve volunteer hour documentation for community service participants.
  • Maintain positive volunteer relations through clear communication, appreciation, and recognition of volunteer contributions.
  • Serve as the first point of contact at the reception desk by answering phones and greeting visitors in a professional and welcoming manner.
  • Assist walk-in clients with food assistance inquiries and direct them to appropriate resources.
  • Receive deliveries, sign for incoming items, and notify appropriate staff upon arrival.
  • Be aware of employees’ on and off-site scheduling 
  • Receive mail, FedEx, UPS and advise staff of packages received 
  • Participate in special projects as necessary 
  • Maintain accurate inventory records for box and meal production using the NetMenu/BOH inventory system.
  • Enter and update inventory data in NetMenu in a timely and accurate manner.
  • Provide daily inventory support to production, warehouse, and kitchen teams.
  • Perform system administrator functions for NetMenu, including user access, setup, and troubleshooting as needed.
  • Process and track invoices related to inventory and production supplies.
  • Prepare and enter pre-receipts and receiving documentation.
  • Generate and manage pick orders to support production and distribution
  • Support Bring Hope Home produce box and special program inventory needs 
  • Enter and maintain temporary employee time sheets related to production activities
  • Enter and track food service vendor orders to ensure timely replenishment of supplies
  • Other duties as assigned

Requirements

  • High school diploma 
  • Minimum of one year of directly related experience 
  • Familiarity with office management systems, scheduling, and filing systems. 
  • Ability to demonstrate excellent verbal and written communication skills to relay messages   clearly and professionally 
  • Ability to professionally handle interactions with clients or colleagues. 
  • Proficient use of software like Microsoft Office Suite, Teams, and/or other tools relevant to the department (e.g., CRM systems, accounting software) 
  • Ability to identify issues and find solutions quickly and efficiently
  • Comfortable presenting and communicating effectively to groups of varying sizes 
  • Strong attention to detail 
  • Ability to build positive relationships with colleagues and clients
  • Ability to manage calendars, prioritize tasks, and handle multiple assignments efficiently 

  Physical requirements/environment 

  • Ability to sit or stand for extended periods at a reception desk
  • Ability to communicate clearly in person and over the phone
  • Ability to operate standard office equipment (computer, phone, printer, copier)
  • Ability to lift and carry light items (up to 15–20 lbs.), such as supplies or paperwork
  • Ability to bend, reach, and walk short distances throughout the office
  • Ability to maintain focus and composure in a fast-paced, public-facing environment

  

Desired Skills and/or Certifications

  • Experience working with volunteers or personal volunteer experience preferred 
  • Certificate in Volunteer Management preferred 
  • Associate degree preferred
