Volunteer Coordinator

Job Summary: 

GalaxyCon is a festival of fandom that celebrates comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay, and more. GalaxyCon is more than a comic-con, it’s a galaxy of fun! 🚀 

We are looking for a dedicated and enthusiastic Volunteer Coordinator to join our event team and help us recruit, manage, and support our amazing volunteers. 

Key Responsibilities:

• Create volunteer applications in Eventeny for each of our shows, and ensure they are clear, comprehensive, and accessible.


• Review incoming volunteer applications, and select the best candidates based on their skills, interests, and availability.


• Assign volunteers and create schedules based on their preferences and event needs.


• Reply to inquiries from volunteers, and provide them with information, guidance, and feedback.


• Keep in touch with department leads to determine volunteer needs, and communicate any changes or updates to the volunteers.


• Research stores, groups, and events that are local to the area where we will hold a show, and contact them to help with volunteer recruiting while promoting the benefits and perks of volunteering for GalaxyCon.


• Occasionally travel to other events as part of Marketing Activation, and represent GalaxyCon in a positive and professional manner.


• Check volunteers in and out at our events, and ensure they have the necessary credentials, equipment, and instructions.


• Keep track of current volunteer availability at shows, and reassign volunteers based on department need. Handle any issues or emergencies that may arise.


• Assist with the Information booth at shows, and provide helpful and accurate information to the attendees and the guests.


• Take part in setup and breakdown of shows, and ensure the venues are clean, safe, and ready for the events.

Qualifications:

• Bachelor’s degree in event management, human resources, or related field, or equivalent work experience.


• At least 2 years of experience in volunteer coordination, preferably in the entertainment or convention industry.


• Proficient in Eventeny, Google Drive, Microsoft Office, and other event management software.


• Familiar with the guests and genres we feature, and passionate about pop culture and fan conventions.


• Excellent communication and interpersonal skills, and able to interact with volunteers, staff, attendees, and guests in a friendly and respectful manner.


• Strong written and verbal communication skills


• Excellent organizational and project management abilities


• A passion for comic books, pop culture, sci-fi, fantasy, anime, gaming, cosplay, and more


• A willingness and ability to travel to GalaxyCon events, which may require working on weekends and holidays
