We’re seeking a Volunteer Program Coordinator to lead and inspire our dedicated volunteers through the CASA (Court Appointed Special Advocates) and Douglass programs. 



         Hourly Wage:  $17.50 per hour


        40 hours/52 weeks annually (Hours are 8:00 am – 4:30 pm)



EDUCATION AND SKILLS:


Two to three years’ experience in program coordination, including collecting and tracking data and experience working with volunteers is preferred. Strong organizational, communication, and interpersonal skills. Experience in community engagement, fundraising, or grant writing a plus.  Proficiency in Microsoft Office Suite and database management systems. Ability to work independently and collaboratively in a team environment. Must possess a valid driver’s license and be willing to travel locally.



JOB SUMMARY:


In accordance with Douglass Community services’ philosophy and mission and under the supervision of the COO and CASA Director, this position provides coordination of the day-to-day operations of the DCS and CASA Volunteer Programs. Performs recruiting, training, placement and supervision of volunteers.  Coordinates with the court system, partner agencies, and local organizations for the betterment of local foster children. 


 


ESSENTIAL RESPONSIBILITIES:



  • Coordinate program operations in compliance with contracts, laws, grants, and agency policies.

  • Maintain updated volunteer records and acknowledge special occasions.

  • Participate actively in fundraising to support program growth.

  • Ensure program meets volunteer and in-kind contribution requirements.

  • Assist with grant writing under direction of COO.

  • Manage budgets, procurements, and inventory; prepare purchase requisitions and in-kind documentation.

  • Submit monthly reports as directed by COO.

  • Track and record all volunteer hours and associated recognitions.

  • Promote DCS and CASA programs through community outreach and public relations.

  • Annually review and update volunteer position descriptions.

  • Assist with volunteer recruitment, training, and placement documentation.

  • Support 32 hours of pre-service and 12 hours of annual continuing education for volunteers.

  • Keep CASA database current and accurate.

  • Ensure volunteers understand roles, restrictions, and assignments.

  • Provide training on workplace conduct and anti-discrimination policies.

  • Maintain confidential volunteer records similar to staff personnel files.

  • Ensure volunteers have appropriate supervision at all times.

  • Engage in fundraising, donation solicitation, promotions, and follow-up.

  • Use social media for community engagement under COO and Volunteer Director guidance.

  • Travel within the program’s service area as needed (reimbursed).

  • Participate in limited professional development (less than 5% travel).
