Job Description - Volunteer Coordinator

Pacific Wildlife Care – Volunteer Coordinator

Full-Time | Non-Exempt/Hourly | Reports to: Center Director | Work Location: Onsite 

Position Summary

The Volunteer Coordinator is responsible for leading and managing Pacific Wildlife Care’s volunteer program in support of wildlife rehabilitation, administrative operations, education, outreach, and fundraising. This role oversees volunteer recruitment, training, scheduling, engagement, and compliance to ensure volunteers are well prepared, supported, and aligned with organizational priorities.

This position requires a consistent onsite presence, hands-on supervision, and close collaboration with staff and leadership. The role is expected to focus primarily (approximately 80%) on onsite volunteer training, supervision, and management, with the remaining approximately 20% dedicated to volunteer recruitment, administration, and reporting, based on organizational needs.

This position provides supervision and guidance to volunteers and does not include direct supervision of paid staff.

Essential Duties & Responsibilities

  • Recruit, onboard, train, schedule, and supervise volunteers across all programs.
  • Provide hands-on, onsite training and ensure volunteers adhere to all safety, animal care, and operational protocols.
  • Maintain a regular onsite presence to support volunteers and respond to day-to-day operational needs.
  • Manage volunteer records, hours, and communications using Volgistics.
  • Collaborate with staff and leadership to align volunteer support with program needs and organizational goals.
  • Assess, strengthen, and standardize volunteer recruitment, training, and onboarding processes to promote consistency, enhance safety, and reduce organizational risk and liability.
  • Develop and facilitate volunteer trainings and continuing education opportunities.
  • Coordinate volunteer support for events, outreach, and fundraising activities.
  • Foster a professional, inclusive, and respectful volunteer culture.
  • Plan and implement volunteer recognition and retention initiatives.
  • Monitor volunteer performance and address concerns in collaboration with leadership.
  • Prepare reports and maintain accurate records for leadership, grants, and Board materials.
  • Supervise and delegate appropriate, non-confidential administrative tasks to trained volunteers, as available.

Qualifications

  • 1–2 years of experience in volunteer coordination, program management, or community engagement.
  • Experience working in nonprofit and/or animal-related organizations preferred.
  • Wildlife Rehabilitation experience preferred.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to train, supervise, and support volunteers in a hands-on, onsite environment.
  • Proficiency with volunteer management software and standard office applications.
  • Ability to work independently while collaborating effectively with a team.
  • Commitment to wildlife conservation, safety, and community engagement.

  • This is a primarily onsite position. A consistent work schedule aligned with the operational needs of the center is required.
  • Work hours will be scheduled in advance and in accordance with applicable wage and hour laws.
  • Some flexibility may be available; occasional evenings, weekends, or offsite events may be required.
  • Must be able to lift up to 50 lbs, stand and walk for extended periods, and work in a wildlife care setting.
