Job Description - Volunteer Coordinator

Hours: ~40 hours weekly


Reports to: Director of Ministries


Works Closely With: Ministry Directors and Ministry Operations Leaders



One-Line Job Description


Recruit, onboard, train, schedule, and care for the volunteer teams across all ministries of the church, ensuring volunteers are envisioned, equipped, and thriving in their roles.



Key Responsibilities


1. Volunteer Recruitment



  • Actively recruit new volunteers from the congregation for ministry teams across the church.

  • Consistently suggesting and pushing for volunteer recruitment across all church ministries

  • Work with ministry leaders to identify volunteer needs and maintain a healthy pipeline of volunteers.

  • Lead the coordination for a semesterly Serve Sunday events.

  • Guide prospective volunteers through the onboarding process and placement within ministries.


2. Volunteer Onboarding & Training



  • Oversee volunteer applications, background checks, and any required screening processes.

  • Develop and maintain a clear onboarding pathway for all volunteers.

  • Lead orientation for new volunteers to introduce them to church culture, expectations, and serving opportunities.

  • Build and maintain training systems and documentation for volunteers in partnership with ministry leaders.

  • Coordinate ongoing training and development opportunities for volunteers.


3. Volunteer Scheduling & Communication



  • Oversee and maintain systems used for volunteer scheduling across ministries.

  • Support ministry leaders in creating sustainable volunteer rotations and schedules.

  • Communicate regularly with volunteers to confirm roles, responsibilities, and expectations.

  • Help ministries arrange substitutes or fill last-minute needs when volunteer gaps arise.


4. Volunteer Care & Development



  • Build relationships with volunteers and regularly encourage and support them in their roles.

  • Maintain a culture of appreciation and encouragement among volunteers.

  • Coordinate volunteer appreciation initiatives and recognition efforts.

  • Check in regularly with ministry leaders and volunteers to ensure healthy team culture and address concerns.


5. Sunday Volunteer Support



  • Be present on Sundays to support volunteer teams across ministries.

  • Help ensure critical roles are filled and assist ministries in solving last-minute volunteer needs.

  • Welcome and encourage volunteers as they serve.


6. Systems Ownership



  • Own the systems that support volunteer management (database, scheduling tools, onboarding workflow).

  • Maintain updated volunteer lists and service assignments.

  • Create clear processes for ministries to request volunteers and report volunteer needs.

  • Continually improve systems that help volunteers connect, onboard, and serve effectively.


7. Collaboration with Ministry Leaders



  • Partner with ministry leaders to understand the volunteer needs of each ministry area.

  • Help ministries develop healthy volunteer teams that support their ministry goals.

  • Support ministry leaders in training volunteers within their specific ministry roles.

  • Serve as the central point of coordination for volunteer strategy across the church.

Role Clarification



  • Ministry Directors: Own discipleship, ministry vision, and ministry outcomes.

  • Volunteer Coordinator: Owns the entire volunteer pipeline across the church — recruitment, onboarding, scheduling systems, care, and development.
