Coastal Maine Botanical Gardens is hiring a Volunteer Engagement Team Member! 

Are you a people person who is organized, a good communicator, excited about inspiring meaningful connections among people and nature in one of the most beautiful settings in Maine, and committed to supporting the Gardens’ Inclusion, Diversity, Equity, and Accessibility goals?  

The Volunteer Engagement Team Member offers experience in all facets of volunteer management, including recruitment, placement, training, maintenance, and recognition. All volunteer engagement team member assignments will support Coastal Maine Botanical Gardens’ mission and operations. This position fosters an inclusive environment among the volunteers and plays a supportive role in introducing volunteers to the Gardens, overseeing organizational efforts to ensure volunteers are welcome and valued within the organization. The Team Member orients volunteers to the mission, culture, policies, and practices of the Gardens so they are effective ambassadors for the organization and supports volunteers in their success within the organization. The Team Member ensures that volunteers welcome guests to the Gardens and introduces them to the range of services and experiences offered at the Gardens.   

$22.00 hourly, non-exempt 

This is a year-round, full-time (40 hours/week), benefits eligible position. Flexibility during the week, weekends, and occasional evening events is required. Will need to work one weekend day a week. Hired candidate will have the option of a 12-month or 10-month (March-December) schedule. 

Primary Functions: 

  • Assists with matching and placing volunteers with departments, in programs, and event-support functions.  
  • Assists in developing and executing orientation and training programs for volunteers.  
  • Learns and manages computer-based strategies for supporting and managing volunteers.  
  • Provides updated daily and weekly volunteer schedules and updates to volunteers and necessary staff. Reach out to available volunteers to fill empty shifts. 
  • Learns and implements a range of volunteer recognition strategies employed on a daily/weekly/monthly/annual basis. And assists with planning and execution of volunteer incentives, recognitions, and events.  
  • Learns and implements best practices in guest services, including working with the Guest Experience team.  
  • Provides excellent guest experience. Assist guests with questions and any unmet needs.  
  • May assist in recruitment of new volunteers, selection, screening, and onboarding.  
  • Ensures volunteers have reported to high priority areas at each shift.  
  • Helps cover volunteer responsibilities if openings arise, including but not limited to driving a shuttle, conducting a Highlights tour, conducting an Accessible Cart Tours, being a butterfly house docent, a bridge ambassador, or a troll ambassador, and any other volunteer position where necessary.  
  • Logs volunteer hours and pertinent volunteer information.   
  • Maintains volunteer records which may include current agreements, and pertinent documents applicable to a specific volunteer’s area.  
  • Provides assistance across the Guest Experience department (admissions, phones), as needed.  
  • Helps with seasonal transitional projects, as well as volunteer oversight and special projects. All tasks to be outlined in an action plan summary as well as any corresponding task checklists.  
  • Participates in Gardens-wide initiatives including Gardens Aglow assignments which may include inside and outside light installations and assignments to be determined as needed.   
  • Supports a culture that welcomes all people to the Gardens to create meaningful experiences with the natural world and the people around them.  
  • Commits to working across the organization to support the integration of Inclusion, Diversity, Equity, and Accessibility principles into the Gardens’ internal operations and its relationships with visitors and guests. 

Physical Requirements: 

Based in an office setting, but this position does require moving throughout the Gardens frequently in all kinds of weather, across some unimproved trails of varying difficulty. May require standing for long periods of time. Requires use of telephone, radio, and computer equipment.

Requirements

  • The successful candidate must have an outgoing personality, solid organizational skills, a love for people, plants, and the outdoors.   
  • Proficient user of software including Microsoft Office and database management platforms.  
  • Makes and prioritizes multiple decisions in a short period of time.  
  • Some knowledge of gardening and of local history and geography is desirable.  
  • Must maintain a current driver’s license and the ability to learn and drive a 12-passenger shuttle.  
  • Excellent verbal communication skills and ability to communicate proficiently in English.  
  • Comfortable interacting with guests, volunteers, board members, and community.  
  • Possess a teamwork orientation that supports and uplifts a work environment.  
  • Ability to work with cross-functional staff at all levels.  
  • A desire to learn more about the Gardens.
