Job Description - Volunteer Manager

Description

The Volunteer Manager is part of a team responsible for providing services to clients in order to help support their basic life needs. This individual works from the Middlecamp Center for Vincentian Charity (MCVC). The Volunteer Coordinator manages the MCVC volunteer force. This individual works under the direction of the Associate Director of Client Services to supervise upwards of 400 volunteers annually. The Volunteer Coordinator will work alongside the MCVC staff to advance the goals and success of the District Council in Dane County while adhering to approved plans and budgets.

ESSENTIAL DUTIES and RESPONSIBILITIES:  

VOLUNTEER MANAGEMENT

Volunteer Scheduling

  • Scheduling daily volunteer needs for the Food Pantry, Charitable Pharmacy and Locker’s programs 
  • Scheduling volunteer groups to meet the needs of the programs and to foster community engagement with local businesses and organizations
  • Collaborate with program managers and staff to identify needs

Database Management

  • Processing new volunteer applications
  • Maintaining volunteer records
  • Database entry and reporting of volunteer hours 

Safeguarding Training and Background Check Facilitation

  • Conduct mandatory safeguarding training on all volunteers
  • Conduct Background checks on volunteers
  • Provide technical support to volunteers as they work through training program
  • Adhere to the Safeguarding Policy by ensuring timely completion of mandatory training, staying updated on relevant training modules.

Service Center Support

  • Develop basic understanding of and ability to assist with each client service offered through the Middlecamp Center for Vincentian Charity
  • Assist with client services when needed

VOLUNTEER RECRUITMENT

  • Identify, develop and implement creative volunteer recruitment strategies to attract and retain adequate volunteer numbers to maintain efficient operations 
  • Volunteer recruitment efforts may include volunteer fairs, engagement with Edgewood College, Madison College and UW Madison, print announcements, etc. 
  • Improve upon and facilitate new volunteer orientation as needed
  • Build and maintain connections with corporate partners to encourage group volunteerism at SVdP
  • Collaborate with program managers and staff to provide meaningful opportunities for group volunteering
  • Provide overview of services to each group to grow their understanding of the importance of their volunteer service 

VOLUNTEER RETENTION

  • Evaluate and measure volunteer satisfaction
  • Responsible for creation and distribution of the volunteer bulletin 
  • Plan and participate in volunteer recognition programs and special events

Requirements

MINIMUM QUALIFICATIONS:

  • Education: Bachelor’s degree in human services or related field. Equivalent experience may be considered. 
  • Licenses/Certificates: Valid driver's license required
  • Technology/Equipment: Proficiency in Microsoft Office and Google Workspace products

PREFERRED QUALIFICATIONS:

Experience and/or Training 

  • Strong interpersonal and communication skills
  • Experience managing large groups of volunteers 
  • Excellent organizational skills
  • Event planning or project management experience 

PHYSICAL AND MENTAL DEMANDS/QUALIFICATIONS:

The mental and physical requirements described here are representative of those that must be met by an individual to successfully perform the essential functions of this position. While performing the duties of this job: 

  • The employee is frequently required to stand, walk, talk and hear, and use hands to finger, handle, or touch objects, tools, or controls. 
  • The employee must regularly lift and/or move up to 20 pounds without assistance, and occasionally lift/move up to 50lbs with assistance. 
  • The employee must be able to follow instructions and work autonomously on assigned job duties
  • The employee must have a valid drivers license 
  • This position regularly works outdoors in all types of weather conditions 

WORKING ENVIRONMENT:

The food pantry and warehouse working environment may contain dust, debris or allergens commonly associated with all manner of donated goods. Certain areas of the warehouse are only partially climate controlled.
