Job Description - Volunteer Program Coordinator

Job Summary


The Loggerhead Marinelife Center (LMC) is seeking a dedicated, enthusiastic, and highly organized Volunteer Program Coordinator to join our team. This full-time position is responsible for managing and coordinating the daily operations of our volunteer program, overseeing 400+ volunteers and ensuring an impactful and fulfilling volunteer experience. The Volunteer Program Coordinator will work closely with the Volunteer Program Manager and various departments to ensure smooth day-to-day operations, including volunteer scheduling, educational sessions, socials, group events, and shift meetings. Additionally, the coordinator will be responsible for maintaining the volunteer dashboard, supporting corporate volunteer events, and facilitating after-hours events as needed.


 


Core Responsibilities


▪          Prepares and coordinates the daily volunteer schedule, ensuring ample volunteer assistance for scheduled programming across all applicable departments


▪          Prepares scheduling plans that ensure ample volunteer assistance during periods of high volunteer service needs such as holidays and school breaks.


▪          Coordinates closely with Department leads’ requests for volunteer-led programming, including but not limited to tours, special events, after-hours events, sea turtle releases and seasonal educational programming.


▪          Assists with clear and timely performance feedback measures as needed.


▪          Coordinates with Department leads to facilitate onboarding and first day activities for new volunteers


▪          Curates content for weekly Volunteer Newsletter.


▪          Assists with Volunteer Recruitment events and community engagement events as needed.


▪          Primary coordinator for volunteer appreciation events and initiatives in alignment with nationally recognized holidays as well as year-round efforts.


▪          Work outdoors in varying conditions (sun, heat, rain, etc.) as needed.


▪          Participates in team meetings, tase detailed notes, and communicates key takeaways to the greater volunteer team.


▪          Address and resolve conflicts or issues that arise amongst volunteers or between volunteers and staff in a professional and diplomatic manner.


▪          Leads daily shift meetings upon the start of each volunteer shift


▪          Participate in after-hours events on occasion to engage with volunteers, stakeholders, and the public.


▪          Plan and schedule educational opportunities, such as Lunch & Learns and other training sessions, for volunteers to enhance their knowledge of marine life and conservation efforts.


▪          Manage and update the volunteer dashboard, ensuring all volunteer information is accurate and up to date.


▪          Support and assist with the planning and facilitation of corporate volunteer group activities, ensuring a positive and productive volunteer experience.


▪          Other duties as assigned.


 


Required Skills, Knowledge, and Experience


▪          Minimum 1 year of experience coordinating or managing programs or similar roles.


▪          Demonstrated excellence in communication (written, oral, and public) and experience with conflict management, mediation and relationship management.


▪          Exceptional organizational skills and attention to detail.


▪          Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.


▪          Self-motivated and able to work independently with minimal supervision.


▪          Ability to work in a variety of weather conditions, including heat, rain, and sun.


▪          Technical proficiency in cloud-based collaboration platforms and tools (Office 365, DropBox, Zoom, etc.).


▪          Must be available to work at least one weekend day per week.


▪          Ability to attend occasional after-hours meetings and events.


▪          Experience in scheduling, managing a large volunteer base, and organizing events preferred


▪          Professional experience in human resources or related discipline preferred

While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel; reach with hands and arms, and talk or hear. The employee frequently is required to stand and walk the extent of LMC campus. The employee is frequently required to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. This position involves working outdoors in Florida, often in hot and humid conditions, and at events that extend into evening and weekend hours. Must be willing and able to travel for offsite programming and possess a valid driver’s license.


 


Notes


This is a salaried and exempt position. The successful incumbent may be required to perform tasks beyond the scope of this job description as requested by the supervisor. This recruitment may be used to select candidates for additional open positions. It is our policy that all team members, including newly hired, transferred, and promoted team members, will be carefully monitored and evaluated for an initial introductory 3-month period on the job. After satisfactory completion of the introductory evaluation, such team members will be evaluated on an annual basis.
