Job Description - Volunteer Services & Welcome Center Coordinator

Description

Are you passionate about making a difference in the lives of animals and looking to work with a dedicated team of volunteers? Join the Animal Friends team as a Volunteer Services & Welcome Center Coordinator and help us make a positive impact in the community.  The Volunteer Services & Welcome Center Coordinator supports the mission and vision of Animal Friends by coordinating and developing meaningful volunteer opportunities and ensuring a welcoming and engaging experience for all visitors. This role is responsible for planning, implementing, and overseeing volunteer programs for individuals, corporate partners, community groups, and academic institutions, as well as supporting the daily operations of the Welcome Center. The Coordinator also plays a key role in onboarding and training volunteer greeters and ensuring the front-facing experience reflects the values and professionalism of Animal Friends.  

 

Essential Functions

  • Develop, implement, and oversee administrative procedures that support the goals of the Volunteer Services Program. 
  • Support Therapet program coordinator and volunteers, particularly in managing records, tracking hours, and coordinating recertification needs. 
  • Provide excellent customer service to volunteers and guests and represent Animal Friends professionally in all interactions. 
  • Recruit, interview, onboard, and support individual and group volunteers, including corporate and college groups. 
  • Maintain and manage the Volunteer Management System (Volgistics), ensuring data accuracy and user engagement. 
  • Oversee the volunteer greeters and coordinate the onboarding and training of new greeter volunteers. 
  • Schedule and coordinate volunteer orientations, days of service sessions, and event participation. 
  • Foster a culture of volunteer appreciation, communication, and inclusion through regular engagement and feedback mechanisms. 
  • Collaborate with internal departments to identify volunteer needs and match them with appropriate volunteer resources. 
  • Promote volunteerism internally and externally by creating outreach materials and participating in community and recruitment events. 
  • Coordinate logistics for days of service and events (i.e. all staff meetings, roundtables, etc.), including setup and breakdown. 
  • Maintain accurate records and reports on volunteer activities, hours served, and impact. 
  • Monitor and evaluate program effectiveness, providing recommendations for improvement. 
  • Participate in planning, budgeting, and fundraising activities related to Volunteer Services. 
  • Stock and maintain inventory for the merchandise area of the Welcome Center. 
  • Perform other duties, including providing support for Black Tie & Tails, as assigned to support the mission and vision of Animal Friends. 

Qualifications and Experience

  • Bachelor’s degree required; concentration in nonprofit management, communications, human services, or related field preferred. 
  • Minimum two years of experience in volunteer management, community engagement, or program coordination. 
  • Prior supervisory or leadership experience preferred. 
  • Strong organizational and project management skills with the ability to prioritize and manage multiple tasks. 
  • Excellent interpersonal and communication skills. 
  • Access to dependable transportation; valid driver’s license preferred. 
  • Flexible schedule with availability for occasional evenings, weekends, and special events. 
  • Ability to lift up to 50 lbs. and work in a fast-paced, animal-focused environment. 
  • Must possess or be able to obtain valid Pennsylvania Child Abuse, State Police, and FBI Fingerprint Clearances. 
  • Demonstrated alignment with the mission and values of Animal Friends.

  • Technology Fluency – Proficient in Microsoft Office, email platforms, and volunteer management systems (e.g., Volgistics); comfort with virtual communication tools. 
  • Collaboration and Teamwork – Works effectively across departments to support organization-wide initiatives and programs. 
  • Initiative and Problem Solving – Proactively identifies challenges and implements practical solutions to improve the volunteer experience.
