Position Summary:
The Brand Coordinator is responsible for providing interim support for Trademark Licensing and Brand Marketing operations within Vanderbilt's Office of Brand Marketing. The position manages art approvals, merchandise order requests, licensee communications, internal campus supplier program, and cross-functional coordination. This position will work closely with the Senior Director of Brand Marketing and will report directly to the Senior Director of Brand Marketing. This position does not have supervisory responsibility and might require the ability to report to work in-person on the Vanderbilt University campus if needed.
Duties and Responsibilities:
Review and approve product artwork, logo usage, and branding requests from licensees and campus partners:
Internal – approximately 75 art submissions a week
Retail – approximately 410 art submissions a month
Campus partners – approximately 10 emails a week
Ensure all designs align with brand guidelines including logos, colors, and usage rules.
Serve as point of contact for licensing questions and approvals; redirect inquiries to the appropriate people within the University as needed.
Manage and respond to Merchandise Order Requests (MOR), approximately 75 per week.
Oversee MOR submission and tracking.
Help manage the Internal Campus Supplier (ICS) licensing program and Specialty internal campus supplier program. With the new ICS program term launching July 1, 2026, this role requires daily communication and coordination with licensees.
Serve as point of contact for troubleshooting questions, requests, and internal communication related to the ICS and retail licensing program.
Issue and execute One-Time Use Waivers in coordination with appropriate team members.
Act as point of contact for retail licensees and maintain communication to keep projects moving forward.
Escalate questions requiring additional historical context, strategic direction, or decision-making authority to the Senior Director of Brand Marketing and Director of Brand Management.
Forward new partnership opportunities and product proposals to the Senior Director of Brand Marketing and Director of Brand Management.
Maintain connections with stakeholders including CLC, Fanatics, Athletics, Marketing, Bookstore, Medical Center and Vanderbilt Enterprises on projects that intersect with Brand Marketing operations.
Support merchandise-specific product launches, campaigns, and merchandise needs in collaboration with internal partners.
Monitor and manage the following shared inboxes: [email protected], [email protected], and [email protected].
Demonstrate understanding of the university's mission, values, goals, and priorities and ensure all are considered in day-to-day operations.
Demonstrate a commitment to equity, diversity, and inclusion and the importance of equity as an organizational operating principle.
Communicate and collaborate effectively with a wide range of audiences—including faculty, students, leadership, staff, alumni, suppliers, and agencies.
Efficiently and effectively manage multiple, complex, and results-oriented projects with quick turnaround requirements, including a 24-hour response window for approvals and requests.
Adhere to confidentiality and business ethics; demonstrate outstanding judgment and discretion.
Perform other relevant duties as assigned.
Qualifications
A High School diploma or equivalent is required.
A Bachelor’s degree from an accredited university is preferred.
1-2 years of work experience, preferably in an administrative capacity, is required.
Thorough working knowledge of the full suite of Microsoft Office products is required.
Previous administrative experience with Vanderbilt University or in a private institution of higher education is preferred.
