Knudtsen Foothills Lincoln Mazda is seeking a Warranty Administrator to join the Knudtsen family. Knudtsen is a family-owned and operated company that provides the Spokane and Post Falls communities with new and used cars, full-service body shops and service departments, as well as genuine Mazda and Lincoln Parts. Summary of Position
As a Warranty Administrator you would be responsible for communicating with manufacturers and vendors to ensure the handling of all warranty requests is in compliance with both Knudtsen standards and legal requirements. You would be an integral part of the service team ensuring the accuracy and timeliness of these items so that the service department receives proper credit and monies due. Continuing product, process, and service specific training would be provided.
Responsibilities
Processes warranty claims on a timely basis for each franchise or distributor.
Processes all warranty paperwork to ensure proper documentation.
Verifies criteria required by factory or distributor.
Reconciles all warranty receivables with payments through the appropriate accounting schedule.
Posts credits on computer.
Resubmits all rejected claims promptly or receives authorization to write them off.
Follow up on payment of outstanding claims.
Files and maintains all service records as required by the warrantor.
Keeps informed of all factory recalls and bulletins.
Assists with body shop warranty claims as needed.
Balances booking, coding and flagging warranty for all repair orders.
Monitors all warranty repair orders and claims to assure that proper policies and procedures are followed.
Oversees accuracy and completion of We Owes.
Assists with payroll adjustments regarding technicians.
Assists with various tasks and needs of the accounting department in relation to service accounts and staff.
Other tasks as assigned.
Qualifications
Strong attention to detail.
Self-motivated and excellent time management skills.
Basic computer skills, working ability of Word, Excel, etc., and ability to learn database management software.
Proficient oral and written communication skills, and the ability to read and interpret documents.
Have a valid driver’s license.
Pass a motor vehicle report and possess a safe driving record.
Pass a criminal background check, credit check, and drug test (pre-employment screening does not include testing for marijuana, however, post-accident and random testing to include marijuana testing). Also subject to random drug testing at the company’s request.

The Warranty Administrator may be required to stand for long periods of time, sit for long periods of time, walk with customers and team members, lift and/or carry up to 30 pounds, balance, stoop, kneel and crouch. While performing the duties of this job, the employee is regularly required to talk, listen and hear. The employee is frequently required to use hands to finger, handle, feel and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The environment for the employee varies, but often is an office setting and working in the Service Department. The employee will be required to walk the dealership property and may encounter inclement weather. May also enter the service areas and be exposed to dangerous work environments and loud noises. The noise level in the work environment is usually moderate to loud.
