Position Summary


The Warranty Administrator is responsible for processing, submitting, and reconciling manufacturer warranty claims in a timely and accurate manner. This position serves as a liaison between the dealership and vehicle manufacturers to ensure compliance with warranty policies and procedures while maximizing warranty reimbursement and minimizing claim rejections.


Essential Duties and Responsibilities



  • Review repair orders for completeness, accuracy, and warranty eligibility.

  • Prepare, submit, and process warranty claims according to manufacturer guidelines and deadlines.

  • Monitor, track, and follow up on open, pending, and rejected warranty claims.

  • Resolve claim discrepancies and seek corrections or additional documentation as needed.

  • Maintain accurate warranty records and supporting documentation.

  • Reconcile warranty receivables and ensure timely collection of manufacturer payments.

  • Research warranty coverage, policies, procedures, recalls, and service campaigns.

  • Work closely with service advisors, technicians, parts personnel, and management to ensure proper claim documentation.

  • Audit repair orders to verify labor operations, parts usage, coding, and technician comments meet manufacturer requirements.

  • Process warranty cancellations, adjustments, and chargebacks when necessary.

  • Assist with manufacturer warranty audits and provide requested documentation.

  • Maintain confidentiality of dealership, customer, and manufacturer information.

  • Perform additional administrative duties as assigned.



Qualifications


Required



  • High school diploma or GED.

  • Strong administrative, organizational, and data entry skills.

  • Excellent attention to detail and accuracy.

  • Ability to manage multiple deadlines and prioritize workload effectively.

  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.

  • Strong communication and problem-solving skills.



Preferred



  • Previous automotive dealership experience.

  • Prior warranty administration experience.

  • Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, or similar).

  • Knowledge of manufacturer warranty policies and procedures.

  • OEM certification or training is a plus.



Knowledge, Skills, and Abilities



  • Strong understanding of automotive repair orders and service operations.

  • Ability to interpret manufacturer warranty guidelines.

  • Excellent analytical and reconciliation skills.

  • Ability to work independently while maintaining strong collaboration with the service department.

  • High level of integrity and professionalism.



Physical Requirements



  • Prolonged periods of sitting and working at a computer.

  • Ability to occasionally lift up to 25 pounds.

  • Ability to communicate effectively in person, by phone, and electronically.



Performance Expectations



  • Timely submission of warranty claims.

  • Minimized claim rejections and chargebacks.

  • Accurate warranty receivable reconciliation.

  • Compliance with manufacturer and dealership policies.

  • Strong internal customer service to service, parts, and accounting departments.
