Job Description - Warranty & Logistics Coordinator

Description

  

We’re seeking an enthusiastic, detail-oriented professional to coordinate warranty claims and logistics operations across our company. From coordinating with internal and external teams to ensuring timely, accurate shipments and repairs, you’ll play a key role in delivering excellent customer service and operational efficiency. If you're a self-starter with strong communication skills and a passion for problem-solving, we'd love to have you on board! 

Essential Duties and Responsibilities 

The essential functions include, but are not limited to the following: 

  • Handle all aspects of warranty claims including responding to inquiries, initiating claims per manufacturer protocols, documenting costs, and submitting complete claims within 10 days of repair completion 
  • Collaborate with internal teams and customers to diagnose issues, determine corrective actions, identify and order necessary parts, and return failed parts per vendor requirements 
  • Maintain accurate records of technician notes, parts used, labor costs, and warranty claim statuses with weekly follow-ups on outstanding reimbursements 
  • Represent SWS in warranty negotiations and conduct annual reviews of vendor reimbursement rates to ensure fair compensation 
  • Obtain freight quotes, compare carriers, schedule equipment shipments, and manage all related logistics documentation such as POs and BOLs 
  • Track and report shipping status daily ensuring proactive communication and coordination from dispatch to delivery 
  • Apply and allocate freight charges to appropriate purchase orders, sales orders, and work tickets to maintain accurate financial tracking 
  • Provide timely tracking and reporting updates across relevant SWS departments to ensure operational transparency

  • Strong interpersonal, verbal, and written communication skills with a collaborative, team-oriented mindset 
  • Self-motivated and adaptable, able to work independently in fast-paced, evolving environments 
  • Excellent planning, organizational, and time management abilities 
  • Strong critical thinking, problem-solving, and sound judgment 
  • High attention to detail with strong accuracy and data entry skills 
  • Proficient in computer systems with solid geographical knowledge and map-reading capabilities

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
