Job Description - Warranty Clerk - Automotive Dealership



Bob Bell Ford is looking for a Warranty Clerk/Administrator for our busy Service Center!
Experience is a plus!


Salary commensurate with experience.

Responsibilities



  • Processes all warranty repair orders and submit claims to the manufacturer on a timely basis.

  • Maintains warranty receivables schedule.

  • Work closely and effectively with the team of technicians, service writers, and supervisors.

  • Communicate with Service Advisors to define the scope of a warranty claim.

  • Inspect all warranty paperwork to ensure proper documentation and to verify criteria.

  • Reconcile all warranty receivables and work with the accounting department to obtain payments.

  • Keep track of all services and customer records as required by the manufacturer.

  • Stays abreast of all factory recalls, announcements, and procedure.

  • Stays up to date on all manufacturing warranty training.

  • Understands manufacturer’s warranty and policy manual.

  • Reviews warranty dashboard on a daily/weekly basis.

  • Stays up to date on all prior approval limits/programs.

  • Pull daily claim report for review of paid claims.

  • Submit all requested documentation to manufacture when requested.

  • Input all applicable labor operation codes, failure codes, condition codes and all other administrative data required on repair orders.

  • Ensure that all deductibles are properly documented so they are collected from the customer at the time of repair completion/delivery.

  • Review all returned/rejected warranty claims and prepare the repair orders for immediate resubmission.

  • Maintain all records of claims submitted, returned/rejected, paid and their current status.

  • Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its employees, or customers immediately.


Qualifications



  • Warranty experience required, Preferably Ford Experience

  • Attention to detail

  • Ability to work well with others and be part of a team

  • Proficiency Microsoft Office, CDK

  • General accounting knowledge preferred

  • Valid driver's license and clean driving record
